Pull management review data from your systems

Optional: talk through feeding objectives, audit findings and corrective actions into the review pack automatically.

Optional. The tool and every export work without this. No spam.

How to use the template

Complete the fields before the meeting using data from your EHS manager and compliance register, then update them with decisions made on the day. The generated minutes include all review inputs, an action register and signature lines. Export to Word to add charts or to PDF to file with your EMS records.

  • Circulate inputs a week ahead
  • Top management must attend and chair, not only receive a summary
  • Record decisions about resources and changes to the EMS

What clause 9.3 expects

The inputs include actions from previous reviews, changes in context and obligations, how far objectives were met, performance information, adequacy of resources, communications from interested parties and opportunities for improvement. The outputs are conclusions on suitability, adequacy and effectiveness, decisions on improvement and any needed change to the system, resources, objectives and integration with other processes.

Worked example

If the objective to cut natural gas intensity was reached but waste reduction fell short, the minutes should state that fact, show the gap and record the decision. Perhaps the decision is to extend the waste target to the next period and assign an engineering lead. An auditor reading the minutes should be able to follow the chain from input to decision to action owner.

Common mistakes

Writing minutes that only list slides, leaving out the conclusion on suitability and effectiveness, and holding the review without the person who can commit resources. Another trap is using the same minutes year after year with dates changed, which shows in audits when the context section never mentions new obligations.

Frequently Asked Questions

How often should a management review take place?

ISO 14001 says planned intervals but does not fix a frequency. Annual is the minimum most certification bodies expect, and many sites review twice a year or align reviews with budget cycles.

Who must attend?

Top management, meaning the person or group who directs and controls the organization at the site level, must take part. EHS, operations and other process owners usually attend to present inputs.

Can I combine this with an ISO 9001 or 45001 review?

Yes, an integrated review is acceptable if every required input and output for each standard is covered and recorded. Keep separate sections or headings so each standard's evidence is easy to find.

Is this template legal advice or certification advice?

No. It is a starting point built from the published structure of clause 9.3. Adapt it to your EMS procedure and confirm requirements with your certification body.
