MACRS and Bonus Depreciation Fixed Asset Tax Worksheet

When a plant buys machines, the tax deduction in year one can differ a lot from book depreciation in the ERP. This worksheet estimates the first year federal deduction using Section 179, bonus depreciation and the half-year MACRS rate so finance and operations can compare purchase options.

How to use it

Enter each asset with its cost basis, the amount you plan to elect under Section 179, the bonus percentage that applies to the placed in service date and the year one MACRS rate for the class. The sheet applies the order the tax rules use: Section 179 first, then bonus on the remaining basis, then regular MACRS on what is left. Export to Excel to hand to your tax preparer.

  • Use tax basis, which can differ from book cost
  • Put separate rows for separate placed-in-service dates
  • Check the mid-quarter convention if most purchases fall in Q4

Formula behind the numbers

Year one deduction equals Section 179 plus bonus plus MACRS. Bonus equals bonus percent times basis after Section 179. MACRS equals the year one rate times basis remaining after Section 179 and bonus. In the sample, the 7-year laser cutter with 100,000 dollars elected leaves 320,000 dollars, of which 14.29 percent gives 45,728 dollars of MACRS, for a total near 145,728 dollars. Most CNC and fabrication equipment is generally 7-year property, while many vehicles and some computer equipment fall in 5-year, but confirm classification.

ERP and book versus tax notes

ERP fixed asset modules such as SAP Asset Accounting depreciation areas, Oracle Fixed Assets books or Business Central fixed asset books can run a separate tax book. Use this worksheet to sanity check the tax book before year end or to model a purchase before it is set up. State rules may decouple from federal bonus depreciation, which creates a state difference you track separately.

Common mistakes

Applying the half-year rate to assets that fall under mid-quarter convention, forgetting that Section 179 is limited by taxable income, and including land or building structure in equipment basis are frequent errors. Also, entering a bonus percent that no longer applies to the placed in service date overstates the deduction.

Frequently Asked Questions

Does this replace tax software?

No. It is a planning estimate for first year deductions. Final numbers, Form 4562 reporting and limits must come from your tax preparer or tax software.

What is the order of Section 179, bonus and MACRS?

Section 179 is taken first and reduces basis. Bonus depreciation applies to the remaining basis. Regular MACRS then applies to what is left after both.

Which MACRS class does machinery fall in?

Many manufacturing machines fall in 7-year property, but the class depends on the activity and asset class tables. Confirm in IRS Publication 946 or with your adviser.

Why is the bonus percent blank?

The allowed percentage depends on the placed-in-service date and current law, which has changed several times. Enter the value your adviser confirms.
