Qualified Research Expense Wage Allocation Worksheet

Manufacturers often miss the research credit because they cannot show who worked on what. This worksheet organizes wage-based qualified research expenses by employee and project so engineering and finance can build support before a tax preparer calculates the credit.

Percentages should come from contemporaneous records, project logs or a documented study, not estimates made at year end. Wages are only one category of qualified research expense. Supplies and contract research are separate. Confirm eligibility with your tax adviser.

Optional: talk through how work orders and labor entries can support research documentation.

Optional. The tool and every export work without this. No spam.

How to use it

List the engineers, technicians, machinists and supervisors who worked on development of new or improved products or processes. Enter annual W-2 wages from payroll, then the percent of time spent on qualified research and the percent spent on direct supervision or support. The sheet multiplies wages by the combined percent. Tie each row to a project that can be described in a technical narrative.

  • Use time sheets, MES labor tickets or project hours when available
  • Keep the project name consistent with ERP project or work order numbers
  • Exclude routine production, quality testing and style changes

The four part test

Under Internal Revenue Code Section 41, activities generally need to be for a permitted purpose such as new or improved function, performance, reliability or quality, be technological in nature, eliminate uncertainty about capability, method or design, and involve a process of experimentation. Wages for people doing, supervising or directly supporting that work can count. Time spent on routine inspection after commercial production begins generally does not.

Reading the sample

In the sample, the engineering manager spends 10 percent on research and 25 percent on direct supervision, so 35 percent of 145,000 dollars counts, about 50,750 dollars. The quality engineer at 15 percent contributes about 13,650 dollars. The summary shows what share of listed wages is treated as qualified, a useful reasonableness check. Very high shares, for example above 80 percent for a whole department, often attract questions.

Common mistakes

The most frequent problems are estimates without records, counting entire salaries for roles that mix research and production, and not tying wage allocation to documented projects. Another is skipping state credits, since some states offer their own research credits. Keep a project narrative file alongside the exported worksheet.

Frequently Asked Questions

Does this calculate the R&D credit itself?

No. It estimates qualified wages only. The credit depends on supplies, contract research, base amounts and the method chosen, which your tax preparer calculates.

Do prototype machinists qualify?

Wages for people who perform qualified research or directly support it can count, including those building prototypes, when the work meets the four part test. Production runs for sale generally do not.

Can I use estimates instead of records?

Estimates are weaker support. Contemporaneous records or a well documented study carry more weight in an examination.

Does the credit apply to small manufacturers?

Yes, size alone does not disqualify a company. Certain small businesses may also use the credit against payroll tax in some cases. Ask your adviser about current eligibility.

If your ERP or MES records labor against engineering projects, those hours can feed this worksheet automatically. We can help set up a read-only labor report for it.
