Employer Payroll Tax Cost per Employee Calculator (FICA, FUTA, SUTA)

Payroll tax is a real part of labour cost, and it is not proportional to wages because of wage base caps. This tool computes the employer-side taxes per head and for the whole plant.

How to use it

Enter headcount, average wages and the rates and wage bases that apply to your business. Defaults reflect typical federal rates and the Texas new-employer unemployment profile, but update them to your current notices. The results split Social Security, Medicare, FUTA and state unemployment so you can see which taxes cap out. The chart shows the burden per employee as wages rise, which makes the effect of the wage base visible.

The method

Each tax applies a rate to wages up to a base. Social Security is capped at the annual base. Medicare has no cap. FUTA is charged on the first 7,000 dollars at a net rate after the maximum state credit. State unemployment is charged on a state wage base at your experience rate. Employer cost is the sum of those four items.

  • Social Security = min(wages, base) x rate
  • Medicare = wages x rate (employer share only)
  • FUTA = min(wages, 7,000) x net rate
  • SUTA = min(wages, state base) x experience rate

Worked example and common mistakes

At 62,000 wages: Social Security is 3,844, Medicare is 899, FUTA is 42, and unemployment at 2.7 percent on 9,000 is 243. The total is about 5,028 per employee, near 8.1 percent of wages, or about 603,000 for 120 people. Errors include applying Social Security to all wages above the base, forgetting that FUTA and SUTA reset every year, using the wrong state experience rate, and leaving employer taxes out of the labour rate used for product costing.

Using this in product costing

Standard labour rates in the ERP should include a fringe or burden percentage. Compute the burden from the plant average, then load it into routing labour rates or an overhead rate so standard cost reflects true labour cost.

Frequently Asked Questions

Are employer and employee shares the same?

For Social Security and Medicare the employer rate equals the employee rate, but employees also face additional Medicare tax above a threshold that employers only withhold. FUTA and state unemployment are employer-paid in nearly every state.

Why is FUTA 0.6 percent here?

The statutory FUTA rate is 6.0 percent on the first 7,000 dollars, reduced by a credit of up to 5.4 percent for timely state unemployment payments. Credit reduction states pay more, so use the effective rate for your state.

What is a Texas new employer rate?

New employers in Texas generally start at a state-set rate that depends on industry and then move to an experience rate. Check your Texas Workforce Commission notice for the current rate and wage base.

Does this include benefits?

No. Health insurance, retirement match, workers compensation and paid time off sit on top of payroll tax. Add them to the burden rate separately in your costing model.

We can help connect payroll totals to your ERP labour rates so burden is calculated from actuals rather than a fixed percentage.
