NetSuite File Cabinet Storage Growth Calculator
File Cabinet usage creeps up quietly: generated invoices, scanned receipts and logged integration payloads accumulate until someone notices the storage warning. Model the growth before it surprises you.
Your numbers
Generated PDFs, attached documents, integration payloads logged as files.
Optional. Use your contract rate if you buy extra storage, or leave at zero.
Your results
Estimate only. Check the storage that your NetSuite contract includes and how usage is reported in your account, and note that files generated by scripts may be deleted earlier by your own cleanup policy.
Total GB at end of retention vs average file size
Sweeps Average file size from 0.1 to 5, holding your other inputs fixed.
Storage and retention plan
Optional: get a short outline for archiving documents out of the File Cabinet.
Optional. The tool and every export work without this. No spam.
How to use it
Estimate how many files your scripts and users add each day, and the typical size. Choose the retention period you must keep and a growth rate for volume. If you pay for extra storage, enter the cost per GB. The calculator returns first-year volume, cumulative storage at the end of the period with compounding growth, the same figure without growth for comparison, and the yearly cost at the end.
The math
Year one volume is files per day x 365 x average size, converted to GB. With annual growth g, each later year is larger by a factor of 1 + g, so the cumulative total is a geometric series: year one x ((1 + g)^years - 1) / g. For 400 files per day at 1.5 MB, year one is about 214 GB. With 10 percent growth over seven years the total is roughly 2 TB if nothing is ever removed. The what-if chart shows how strongly average file size drives that result.
- Year one GB = files per day x 365 x MB / 1024
- Total = year one x ((1 + g)^years - 1) / g
- Final year = year one x (1 + g)^(years - 1)
Ways to reduce growth
The largest savings usually come from not storing what you can regenerate. Printed forms rendered from a record can be produced on demand instead of saved. Integration logs can be written to external storage with a short retention. Image attachments can be resized before upload. Where legal retention applies, such as tax or quality records, move older files to an archive with an index in NetSuite instead of keeping everything online.
- Generate PDFs on demand rather than saving every copy
- Purge debug and payload log files on a schedule
- Compress or resize images before attaching
- Archive closed-period documents to cheaper storage
Common mistakes
The most common error is estimating from today's volume and ignoring growth. Another is forgetting scripts that save a copy each time they run, which can create thousands of near-identical files. A third is deleting files without checking record links, which leaves broken attachments on transactions that auditors may open.
Frequently Asked Questions
How do I see my File Cabinet usage?
NetSuite reports file storage in the account's usage and billing views, and the File Cabinet can be searched by size and created date to find the largest folders and oldest files.
Do I have to keep all attachments?
That depends on the record type and your legal retention rules. Tax, quality and contract documents often must be kept for years, while temporary logs and drafts usually need not be.
Why does growth compound?
Because a growing business adds more transactions each year, and each transaction produces files. Compounding captures that the last year added is bigger than the first.
Can scripts clean up old files?
Yes. A scheduled or map/reduce script can search by folder and date and delete files with the N/file module, but test carefully and keep an audit log of what was removed.
Netray can help find which scripts and integrations generate the most files and design a retention and archive plan.
