A starting point for a commercial quote, not legal advice. Have counsel review your standard terms on warranty, liability, intellectual property, ITAR or export control, and cancellation or rescheduling charges. Add component price validity and lead time caveats that match your procurement reality.

Generate this quote from your ERP

An optional conversation about filling quote documents from live BOM, routing and pricing data with human approval.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill the company, customer and assembly fields, then enter price tiers from your costing worksheet. Select the build type (full turnkey, partial turnkey or consigned), the workmanship standard and the solder process, since each changes cost and responsibilities. Add NRE, lead time, shipping and payment terms. Edit the assumptions and exclusions to match the job and export the document. The signature block gives the customer a place to accept the quote with their purchase order reference.

What a good quote states

The assumptions and exclusions sections matter most. They define what the price covers: the data package revision, component availability, validity period, overage, and what happens if tariffs or prices move. Exclusions prevent surprises about coating, box build, firmware loading, burn-in, labeling and engineering changes. State how long prices are held, who owns long lead material risk, and how excess inventory and cancellation are handled.

  • Revision of BOM, Gerber and drawings quoted
  • Price validity and lead time basis
  • Treatment of excess material and cancellation
  • Workmanship class and any test included

Choosing a build type

In full turnkey you buy all parts and carry the material risk, so assumptions on lead time and price validity are essential. In partial turnkey the customer supplies selected parts and you must define receiving, shortages and attrition on consigned items. In consigned builds you quote labor and process only, and should specify overage, kitting accuracy and who pays when parts are short or damaged. The right wording differs for each, so change the assumption text rather than leaving the default.

Common mistakes

Leaving out the revision of the BOM and drawings makes every later change a pricing argument. Quoting a firm price on parts with volatile availability, without a validity limit, shifts all risk to you. Mixing IPC classes silently is another problem: Class 3 inspection and documentation costs more and should be explicit. Finally, do not send a quote without checking for export control restrictions on the technical data and destination.

  • Quote against a specific revision
  • Set a price validity limit
  • Name the IPC class
  • Check export control before sharing data

Frequently Asked Questions

How long should a PCBA quote be valid?

Often 30 days, shorter if component prices or availability are volatile. Tie validity to your supplier quote validity so you are not holding prices you cannot buy at.

Should NRE appear on the quote?

Yes. List it as its own line with when it is billed and whether it is refundable or credited. Hidden NRE inside unit prices causes confusion on reorders.

What is the difference between full and partial turnkey?

In full turnkey the assembler procures all parts. In partial turnkey the customer supplies some parts, often long lead or proprietary items, and the assembler buys the rest. Responsibility for shortages and damage should be defined for the supplied parts.

Does this template include terms and conditions?

It includes the commercial essentials only. Attach your standard terms and conditions and have counsel review them. The notes remind you which items, such as warranty and liability, deserve legal review.

If you generate quotes from an ERP, we can fill this structure automatically from BOM, routing and price data, with a human review step before anything goes to a customer.
