SAP Equipment Master Data Template (IE01)
Bad equipment data is the main reason SAP PM reporting disappoints. This template gives technicians and planners one sheet to collect the fields needed for an equipment master record, so data arrives complete before anyone opens IE01.

Approvals
Field names and mandatory settings depend on your equipment category, screen layout and release. Use this as a collection sheet, then enter the data in IE01 or map it to your migration tool.
Check your equipment list before load
Send a sample of your equipment file and we will flag duplicates and missing fields. Optional, the template is free without it.
Optional. The tool and every export work without this. No spam.
How to use the template
Fill in the equipment description, category and the functional location where it is installed, then add the manufacturer, model, serial number and construction year from the nameplate. Add the planning plant, planner group, work center and cost center. The document updates live. Export it to Word or PDF to hand to a technician for field verification, or attach it to a migration request. Keep one sheet per piece of equipment, or copy the structure into a spreadsheet for large volumes.
What an equipment master record holds
An equipment record in SAP PM is the master data for an individual maintainable object. It holds general data such as description, category, manufacturer and serial number, location data such as the installed functional location, organization data such as planning plant, planner group, work center and cost center, and optional classification, partners, warranties and documents. Equipment can be installed at a functional location, moved between locations and given its own history. The equipment category controls which screens and number range apply, so settle the categories before you load.
- Description, category and object type
- Manufacturer, model, serial number and construction date
- Installation location and superior equipment
- Planning plant, planner group, work center, cost center
- ABC indicator and catalog profile
Data quality checks
Before load, check that every equipment has a valid functional location or a clear reason why it is not installed. Check for duplicates by serial number and model. Verify cost centers and work centers belong to the planning plant. Confirm ABC criticality with operations rather than guessing. A short nameplate photo attached to the record saves later site visits. Where you have thousands of items, sample ten percent for field verification and fix the process, not just the rows.
Common mistakes
Typical errors are using free text for manufacturer names so the same vendor appears under five spellings, leaving the catalog profile blank so failure codes are unavailable, copying the acquisition value from the wrong asset record, and creating equipment without a location so work cannot be planned by area. Another is mixing spare parts and installed equipment in the same category. Decide the rules, document them and apply them to every load.
Frequently Asked Questions
Which transaction creates equipment in SAP PM?
IE01 creates an equipment master record, IE02 changes it and IE03 displays it. IE05 gives a change list for many records. Bulk creation normally uses a migration tool or LSMW recording based on a prepared file.
What is the difference between equipment and a functional location?
A functional location represents a place or function in the plant. Equipment is the physical object installed there. When equipment is replaced, the functional location keeps its history while the equipment record keeps its own.
Do I need a serial number on every equipment record?
Not always, but it is strongly recommended for critical items because warranty, spare parts and vendor support depend on it. Whether it must be unique is a configuration choice in your system, so check with your PM lead.
What does the ABC indicator mean?
It is a criticality classification set on the master record, commonly A for critical, B for important and C for standard. SAP does not decide the meaning for you, so agree the criteria with operations and use it to prioritise planning and reporting.
If you have equipment lists in spreadsheets, PDFs or an old CMMS, Netray can help extract and clean them before they reach SAP, with a human approval step.
