Inventory Record Accuracy Calculator for SAP WM and EWM

Inventory accuracy is the quality score of your warehouse. This calculator converts raw physical inventory results into the percentages management asks for, and shows how netting of gains and losses can hide real problems.

Definitions differ by company. Some measure accuracy by item, some by bin, and tolerances may allow small quantity differences.

Accuracy reporting from your SAP counts

An optional review of how to report accuracy by zone and root cause from physical inventory documents.

Optional. The tool and every export work without this. No spam.

How to use it

After a physical inventory or cycle count run, enter the number of locations counted and how many had a difference between the book and the counted quantity. Then enter the book value of the counted stock, the net value of the differences and the gross value, which is the sum of the absolute differences. Set your location accuracy target. The tool returns location accuracy, value accuracy, the share hidden by netting and how many discrepancies you are over the allowance at your target.

Formulas

Location accuracy equals one minus discrepancy locations divided by locations counted. Value accuracy equals one minus gross absolute variance divided by counted book value. The net variance percentage shows the financial effect that reaches the profit and loss account after offsets. The netting share equals gross variance minus the absolute net variance, divided by gross variance. A high netting share means that the books look fine while the floor is making errors that happen to cancel out.

  • Location accuracy = 1 - discrepancies / counted
  • Value accuracy = 1 - gross variance / counted value
  • Netting share = (gross - |net|) / gross

Using SAP data

In classic WM and inventory management, the physical inventory difference list shows book and counted quantities per item and bin before posting, and posting creates adjustment documents. In EWM, physical inventory documents hold the counted quantity and the difference per storage bin and product. Export the difference list before posting to compute the figures here. Price the differences using the moving average or standard price, and be consistent between periods so the trend is meaningful.

Common mistakes

Do not report only the net variance to management: it is the most flattering number. Do not measure accuracy against a count that was announced with the system frozen if normal operations run with open tasks, because the result is not representative. Avoid setting targets without tolerance rules: a one unit difference on a pallet of small parts may not need an investigation. Finally, track the root causes, such as mis-picks, mislabeled units and unconfirmed tasks.

Frequently Asked Questions

What is a good inventory accuracy level?

Many distribution centers aim for 98 to 99 percent location accuracy, and manufacturing sites running MRP often target 95 percent or better. Targets should reflect the cost of errors in your process.

Why is gross variance better than net?

Net variance lets overages cancel shortages, so a warehouse with many errors can look accurate. Gross variance shows the true size of the errors the process creates.

Should I count in value or quantity?

Track both. Quantity accuracy shows process discipline, value accuracy shows financial exposure. High value items deserve a stricter target than low value fasteners.

How often should I measure it?

Compute it for every count batch and report monthly by zone. A trend by class and shift quickly points to the processes that need attention.

If you want accuracy tracked by zone, shift and operator straight from your SAP physical inventory documents, we can build that analysis on your own infrastructure.
