SAP Source List Mass Upload Template (ME01 / EORD)

A source list tells SAP which vendors are allowed, preferred or blocked for a material in a plant. When you introduce a new plant, onboard many vendors or clean up master data, you need to load hundreds of records. This generator builds the file layout so the data can be prepared in Excel and loaded with your preferred tool.

Column guide

MATNR: material number, as in the material master.
WERKS: plant that the source list belongs to.
VDATU: validity start date.
BDATU: validity end date.
LIFNR: vendor account number.
EKORG: purchasing organization.
FLIFN: fixed vendor flag, X means this vendor is the fixed source.
AUTET: source list usage in MRP, the values depend on your configuration, check the F4 help.

Pre-upload checks

1. Vendor exists and is extended to the purchasing organization.
2. Material exists in the plant.
3. Validity periods of the same material and plant do not overlap.
4. Source list requirement is switched on for the plant if MRP must use it.
5. Test with five records in a test client before loading the full file.

Source list records are stored in table EORD. Transaction ME01 maintains them by material and plant, ME05 generates them from info records and outline agreements. For mass loads use the SAP S/4HANA migration cockpit where a source list object exists in your release, LSMW, or a custom BAPI program. Verify field names and formats against your system, this is a layout aid and not a loader.

Master data upload validation

Send a sample of your upload files and we will check keys, dates and overlaps before your load. Optional.

Optional. The tool and every export work without this. No spam.

How to use the template

Enter plant, validity dates and the first rows of material and vendor pairs. Copy the generated block into a text file or paste it into Excel with tab delimiters. Repeat rows for each material and vendor combination you need. Replace the example values in your spreadsheet with your real data, keep one line per record, then load via your chosen method after testing on a few lines.

What a source list record means

A source list entry links material, plant and validity period to a vendor, optionally to an outline agreement item, and states whether the source is fixed, blocked or used by MRP. The plant setting Source List Requirement decides whether purchase orders must use a source from the list. When MRP creates a requisition, it checks the source list to pick the vendor automatically. A blocked entry can also forbid buying from a vendor for a time period.

  • Fixed source: only this vendor is allowed in the period
  • Blocked source: vendor excluded in the period
  • MRP relevance: whether MRP uses the entry for automatic assignment
  • Contract reference: EBELN and EBELP link to the agreement item

Worked example

Plant 1000 starts sourcing fasteners from vendor 100045 from 1 November 2026 for a year. The file has one row with the material, the plant, the validity dates, the vendor and the fixed flag. After the load, display the record in ME01 and create a test requisition for the material: the vendor should appear as the proposed source. If a second vendor row overlaps the same dates, SAP will report the overlap and reject it.

Common mistakes

Uploading overlapping validity periods, leaving the end date blank and assuming it is unlimited, or loading vendors that are not extended to the purchasing organization all cause rejects. Forgetting to switch on the source list requirement in the plant means POs ignore the list. Another is loading with the wrong date format for your user profile. Always test five lines first and review the result in ME01 and a test PO.

Frequently Asked Questions

What is the SAP table for source list?

Source list records are stored in table EORD. It holds the material, plant, record number, validity dates, vendor, outline agreement reference and flags such as fixed vendor and MRP relevance. Use SE16N to inspect it, but write only through standard transactions or BAPIs.

How do I upload a source list in SAP?

Options are the migration cockpit if a source list migration object exists in your release, LSMW with a recorded ME01 or a program, and a custom report that uses standard function modules. Prepare the data in Excel, test on a few records, then run the full load.

What is the difference between ME01 and ME05?

ME01 maintains the source list by hand for one material and plant. ME05 generates source list entries from existing info records, contracts or scheduling agreements. ME05 is faster for a first fill, ME01 is for corrections and blocking.

Do I need a source list for every material?

No. It is only required where the plant has the Source List Requirement switched on, or where the material master has the source list flag. Many companies use it only for controlled or strategic parts and leave commodity items open.
