SAP Period End Closing Checklist for FI, CO and MM

A month-end close in SAP is mostly about running the right steps in the right order: logistics cut-off, then CO allocations and variances, then FI valuation and reconciliation. This checklist follows that order, flags the steps that cause the most reopened periods and lists the common transaction for each.

18 critical items still open - these are the highest-risk gaps.

Download checklist:

1. Preparation and cut-off

2. Materials management and inventory

3. Controlling and cost accounting

4. Financial accounting and assets

5. Reconciliation, reporting and close

Critical items are those that, if missed, normally cause a wrong balance sheet or a blocked close. Transaction codes shown are classic ECC codes; many have a Fiori app equivalent in S/4HANA.

How to use the checklist

Work through the groups top to bottom and tick each item as it is finished. The score shows percent complete and weights the critical items higher, so you can see whether you are really ready to lock the period. Export the list to PDF for the sign-off pack or to Excel to assign owners and dates per company code. Copy it once per month rather than editing the master, so you keep an audit trail.

Why the order matters

Production order variances depend on WIP and on confirmed activity. Settlement depends on variances. FI valuation depends on a closed MM period. If you run settlement before variance calculation, the variance sits on the order and is picked up one period later, which is a common cause of unexplained P&L movement. The same holds for assessment before activity allocation: the cycle values depend on the cost center balance at the time it runs.

Differences between ECC and S/4HANA

In S/4HANA the Universal Journal in table ACDOCA removes the classic FI to CO reconciliation step for most postings, and several steps have Fiori apps such as Manage Posting Periods and Period End Close Cockpit. The Advanced Financial Closing option can sequence the whole list as a task list with dependencies. The logic of the checklist stays the same even where the transaction code changes.

Common mistakes

Closing the MM period before late goods receipts are posted, forcing a reopen. Forgetting to reverse an accrual so it doubles in the next month. Running depreciation before all asset acquisitions are capitalised. Leaving blocked invoices out of the GR/IR review. Locking CO and FI at the same time when one correction is still pending.

Frequently Asked Questions

What is the correct order for CO period end in SAP?

A common order is activity allocations, then accrual and overhead cycles, then WIP and results analysis, then variance calculation, then settlement. Your design may add assessment and distribution cycles in sequence, so follow your own cycle dependencies.

Do I need MMPV every month?

Yes, if you use period-based posting control in MM. MMPV moves the current MM period forward so postings go to the correct fiscal period, and it should be run after the last goods movements for the old month are in.

Does this checklist cover year end?

It covers the monthly steps that also apply at year end. Year end adds fiscal year change for assets (AJAB), balance carry forward (F.16), and opening the new year in OB52. Add those items before using it for year end.

Is there a standard SAP tool for this?

In S/4HANA there is the Advanced Financial Closing task list and the Period End Close Cockpit. In ECC you can use task lists in transaction CLOSE or similar. A checklist is simpler when you only need a sign-off record.

If your close takes days because analysts export the same SAP reports to Excel each month, Netray can build a read-only dashboard or agent that watches the open items and tells you what is blocking the close.
