SAP PM Shutdown and Turnaround Work Package Template

A shutdown works when each job is planned to the same level of detail before the plant stops. This template gives each job its own package so that crews, parts and permits arrive when the clock starts.

This is a document template, not an SAP object. Create the actual operations, components and permits in the maintenance order. For large shutdowns many plants use a network or project structure instead, so adapt the headings to your process.

Shutdown readiness check

Optional: we compare your planned orders to reservations and permits and list gaps before the stop.

Optional. The tool and every export work without this. No spam.

How to use the template

Create one package per maintenance order. Enter the order and notification numbers so the paper and SAP stay linked, state the scope in plain sentences, and list the crew by trade. The operations table is a sequence with predecessors, which is what you need to find the critical path. Fill the materials table from the order component list and tick when parts are staged. Print the package for the supervisor and keep the PDF with the order attachments.

  • One order, one package, one accountable supervisor
  • Freeze the scope two to four weeks before the stop
  • Stage materials before the stop, not during it

Planning in SAP PM

Shutdown work is planned as maintenance orders with operations, work centres and components, then scheduled and capacity levelled. Orders move through statuses such as CRTD, REL for released, then CNF for confirmed, TECO for technically complete, and CLSD closed. Reservations from the component list let the warehouse stage parts, and permits are attached or managed through work clearance management if the plant uses it. Use the template to check the order is truly complete, not as a substitute for it.

Common mistakes

The usual failures are scope creep after the freeze, missing crane or scaffold bookings, and parts ordered but not staged at the work area. Another is under-estimating test and handover, which runs over by hours every time. Add float to the critical path, record the hours estimate source, and review each package in a walk-through with the people who will do the job.

Frequently Asked Questions

Is this a SAP object?

No. It is a document that sits beside the SAP maintenance order. The order holds operations, components and costs. The package pulls the key facts into one printable record for the crew and the shutdown manager.

How do I link orders to a larger project?

Many plants group shutdown orders under a network or project structure so budget and schedule roll up. If you use that, add the project reference to the package header.

When should the scope freeze?

Common practice is a few weeks before the shutdown, long enough to order parts and book contractors. After the freeze, additions go through a documented change and are weighed against the critical path.

Who signs the package?

Typically the planner who prepared it, the shutdown manager, safety, operations and the supervisor who will run the job. Adjust to your site's authority matrix.

If your shutdown plans live in spreadsheets and SAP at once, Netray can build a read-only agent that cross-checks orders, reservations and permits and lists gaps before the stop.
