Count variance report from your SAP data

Optional expert review of how to pull count variances and recount candidates from SAP automatically.

Optional. The tool and every export work without this. No spam.

How to use the template

Enter plant, storage location, count date and the method you are running. Choose whether book inventory is frozen when the physical inventory document is created, because that decision controls whether goods movements can post during counting. Add scope notes such as which ABC classes, batch-managed materials or special stock types are included. The exported document gives you the plan, the SAP step sequence and a blank count sheet with room for batch, special stock indicator and a zero count flag.

  • Print one sheet per bin or storage section
  • Record the counter name for audit
  • Use the zero count column for empty bins so they are not missed
  • Attach the exported file to your inventory close checklist

The SAP process behind it

The standard flow is create the document (MI01), enter counts (MI04), review differences (MI20), recount where needed, then post (MI07). Cycle counting uses an indicator on the material master (the cycle counting indicator, A B C and so on) to drive how often items come up. Continuous inventory counts different items on different days during the year, while annual inventory counts everything at once. Inventory sampling lets you extrapolate from a statistical sample, subject to your auditor accepting the method.

Reading differences before posting

Differences post to the stock and to an inventory difference account, so each posting hits the P&L. Review the difference list sorted by value, not by quantity. A small quantity difference on a high value item deserves more scrutiny than a large one on fasteners. Check for unposted goods receipts, open transfer orders, in-transit stock and batch mix-ups before you accept a difference. Recount high value items with a second counter who has not seen the first count.

Common mistakes

The most common failure is counting while goods movements are still posting without freezing, which creates false differences. The second is ignoring special stock such as consignment, project and subcontractor stock, which sits under separate stock categories. The third is posting differences without a tolerance review. Finally, do not forget blocked and quality inspection stock, which is counted as a separate stock type and will not match if you only count good stock.

Frequently Asked Questions

Which SAP transactions are used for physical inventory?

The core ones are MI01 to create the document, MI04 to enter count results, MI20 to print the difference list and MI07 to post differences. MI09 allows count entry without a document reference. Fiori apps cover the same steps in S/4HANA.

Should I freeze book inventory?

Freezing blocks goods movements for the material in that storage location until posting, which avoids false differences. It disrupts operations, so many sites freeze only short windows or use cycle counting with careful timing instead.

Can I count batch-managed materials in one line?

No. Batch-managed materials are counted per batch, so each batch needs its own item on the document and its own line on the count sheet. Missing a batch is a common cause of unexplained differences.

Does this template post anything to SAP?

No. It runs in your browser and produces a document. You still create and post the physical inventory documents inside SAP using your own authorizations.

If you want count variances, aged blocked stock and recount candidates pulled straight from your SAP data, Netray can build that as a read-only report.
