A starting template. Customers define their own special status levels, notification forms and exit rules, and some require the response on their portal or in a fixed format. Follow the customer's instructions first. Not legal advice.

Exit evidence pack from ERP quality data

An optional review of assembling PPM, complaint and inspection trends from your ERP for customer reviews.

Optional. The tool and every export work without this. No spam.

How to use the template

Select the status you received, enter the reason from the customer notice and complete the root cause and action fields from your problem solving work. Review the preview and adjust the exit criteria to match what the customer has communicated. Export to PDF for submission or to Word if the customer wants to edit. Attach the 8D, updated control plan and containment evidence.

What customers look for

A strong response shows that the root cause is real, the fix addresses it and the detection controls would have caught it. Weak responses blame operators, list retraining as the only action or give no evidence. Include data, dates and owners.

  • Root cause and escape cause, meaning why it was not detected
  • Systemic actions across similar parts and lines
  • Updated PFMEA, control plan and work instructions
  • A measurable, time-bound exit proposal

Controlled shipping in practice

Controlled shipping usually means added inspection of your product by a party independent of normal production, with results reported to the customer. Level naming varies by customer, and some use a second level with a third-party sort. Cost of the added inspection is normally the supplier's. Plan staffing and records early so the added check is robust and demonstrable.

Common mistakes

Late responses, partial responses and overpromising exit dates all damage trust. Another trap is closing the status request by showing a few good weeks instead of the agreed criteria. Keep a running evidence file and review progress weekly with the customer contact. Use the same data your internal quality system produces.

Frequently Asked Questions

What is controlled shipping?

A customer-imposed status that requires added inspection or containment of your parts before shipment, with results shared with the customer. Customers define their own levels and exit rules, so follow their documented process.

How quickly should I respond?

Acknowledge at once and submit a containment plan within a day or two, then the full response within the customer's deadline. Late replies are often treated as a further failure.

Can I propose my own exit criteria?

Yes, and it helps to do so, but the customer decides. Use measurable criteria such as consecutive days without escapes, PPM below target and verified actions.

Does the template store my data?

No. The template runs in your browser and exports locally to PDF, Word or Excel. Nothing is sent to a server.

If complaints, PPM and inspection data sit in your ERP, Netray can assemble the evidence pack for exit reviews. The template stands on its own.
