Webhook Event Test Case Worksheet for Messaging Integrations
Messaging webhooks fail in ways normal API calls do not: duplicates, out of order status updates, retries and unsigned requests. This worksheet gives you a ready set of test cases to adapt, with run and failure counts that compute a pass rate. Export to Excel for UAT sign-off.

Extend with cases for media messages, large payloads, unsupported message types, time zones and language handling that apply to your integration.

Optional. The tool and every export work without this. No spam.
How to use the worksheet
Start with the sample cases and add your own for each message type and ERP action. Fill input and expected result precisely enough that another tester can repeat the test. Record each run and any failure, and set the status. The pass rate column and the overall summary update automatically. Keep P1 for cases that could expose data, send wrong messages or lose events, and require all P1 cases to pass before go-live.
Cases people forget
Duplicate and out of order delivery top the list: platforms may deliver an event more than once, and status updates can arrive in an unexpected order. Next are signature failures, oversized or unsupported payloads, ERP downtime mid-request, and users with different roles asking the same question. For two-way flows, test a user clicking an approval button twice and approving after the underlying document already changed. Time zones and non-English text deserve their own rows.
- Duplicate and late events
- Bad or missing signature
- ERP timeout or lock
- Role-based refusal
- Double click on approval
- Unicode and long text
Common mistakes
Testing only with the platform's sample payloads misses real-world shapes. Capture anonymized payloads from the sandbox and keep them with the test sheet. Another mistake is verifying that a message was sent but not that the ERP state is correct afterward. Check both. Do not use real customer phone numbers or production documents in tests. Finally, rerun the P1 cases after every change to the webhook handler or template text.
Frequently Asked Questions
How many test cases do I need?
Enough to cover each message type, each ERP action and each failure mode. A small integration often needs 20 to 40 cases. Prioritize P1 cases that guard data and money.
How is the pass rate calculated?
Runs minus failures, divided by runs, shown as a percent. A case with zero runs shows zero. The summary uses the totals across all rows.
Can I use it for Teams bots?
Yes. Replace the inbound and signature rows with activity types and token validation scenarios relevant to Teams, and keep the ERP and role scenarios.
Should tests run in production?
Prefer sandbox or test numbers and tenants. If a production smoke test is unavoidable, use internal recipients and harmless data, and record it.
Netray can help build automated test harnesses around ERP-connected messaging flows so these cases run on every release.
