Epicor: No Employee Attached to User, Supplier Not Approved, Serial Mask Tokens

Error
epicor no employee attached to user

Also searched as

  • epicor supplier not approved for operation
  • epicor kinetic create serial mask tokens
  • epicor user not linked to employee

Short answer

"No employee attached to user" means the signed-in user account is not linked to an employee record in that company, so shop floor and time entry screens cannot identify who is working. Fix it by linking the user and the employee. Supplier-not-approved errors come from approved supplier settings, and serial mask tokens are configured on the serial mask setup used by the part.

Applies to: Epicor Kinetic and Epicor ERP 10; exact field locations can differ by release, so verify on your screens

How to fix these three setup errors

  1. 1For no employee attached to user: open User Account Maintenance and Employee Maintenance for the company you are signed into and check the user is linked to an employee record.
  2. 2Confirm the employee is active and belongs to the right company and site, because the link is company-specific.
  3. 3Sign out and in again, then retry the shop floor or time entry screen.
  4. 4For supplier not approved for operation: open the job operation or purchase setup and check the supplier is on the approved list for that part, operation or outside processing.
  5. 5Either approve the supplier in the supplier or part approved list setup or choose an approved supplier, following your quality procedure.
  6. 6For serial mask tokens: open the serial mask setup used by the part's serial number format and review the tokens and their order.
  7. 7Create the mask with the tokens your numbering needs, assign it to the part's tracking settings, and test with a new serial number.
  8. 8Document each change, since these are quality and control settings.

No employee attached to user

Many shop floor programs record labour, so they need to know which employee a login represents. If the link between the user account and an employee is missing, the program stops with this error. It is common for new hires, for users added by IT without an employee record, and in a new company after a copy.

The fix is administrative: make sure the employee exists, is active, and is linked to the user in that company. Because employees are company-level data, a user may work in company A and fail in company B.

Supplier not approved for operation

This is a control, not a bug. The system is preventing a purchase or outside processing from going to a supplier who is not approved for that part or operation. Quality teams use approved supplier lists to enforce this.

Do not remove the control to clear the error. Get the supplier approved through your process, or pick an approved one. If the supplier should have been approved, the fix is in the approved supplier setup rather than the job.

Serial mask tokens

A serial mask defines the format of serial numbers using tokens for fixed text, counters, dates and other parts. The mask is then used by parts that are serial tracked. If tokens are missing or in an unsupported order, generation fails or produces a format you did not intend.

Design the mask on paper first, including how it resets and how long it can be. Test with a non-production part and a handful of serial numbers before applying it to live inventory.

Common pitfalls

  • !Linking users to employees in one company and expecting it to work in another.
  • !Removing the supplier approval requirement to clear an error.
  • !Changing a serial mask on a part that already has serials in stock without a plan.
  • !Creating inactive or duplicate employee records.
  • !Not documenting changes to quality controls.

How an ERP-grounded AI assistant handles this

An assistant that can read your user, employee and supplier setup can list users without an employee link, or show which suppliers are approved for a part, so a support person can answer in minutes. With ERPray this is a read-only question with the query shown, and any fix stays an administrator's decision.

Frequently asked questions

What does no employee attached to user mean in Epicor?

The login used is not linked to an employee in the current company, so screens that record labour or time cannot identify the person. Link them in the user and employee setup.

Why does it work in one company but not another?

Employees are defined per company. A user linked in one company must also be linked in each other company where they need those screens.

How do I resolve supplier not approved for operation?

Approve the supplier through your approved supplier process for that part or operation, or choose a supplier that is already approved. Do not bypass the control.

How do serial mask tokens work?

A mask is built from tokens that represent fixed text, counters or dates, defining the serial number format for parts that are serial tracked. Test on a non-production part first.

Epicor Kinetic: Menu Item Missing or Access Denied for a User

When an Epicor Kinetic user cannot see a menu item or gets an access denied message, the cause is nearly always security: the user's security group lacks access to that menu or program, the user is not linked to the company, the license or module is not available, or a menu customization hides the item. Check each in that order.

Epicor Kinetic: Job Will Not Release in Job Entry

A job in Epicor Kinetic will not release when it is not Engineered, when a material or operation fails validation, or when the part revision on the job is not approved. Open Job Entry, confirm the Engineered flag first, fix any part, revision or method errors shown in the exception panel, then tick Released.

Epicor MRP Runs but Generates No Suggestions

When Epicor's MRP process completes without a job or purchase suggestion for a part you expect one for, the cause is almost always the part's own configuration (Part Class Type, Make Direct, Non-MRP flag, planning Time Fence) or the demand not being linked in a way MRP recognizes, not a defect in the MRP engine. Work through the part's Planning tab, its safety stock and lead time setup, and the demand source (sales order line status, job material requirement) before assuming the run itself failed.

How to import data with Epicor DMT (Data Migration Tool)

In DMT, pick the target data type (e.g. Part, Customer, PartWhse), Generate a template from the connected Epicor server so column names match your version's schema exactly, populate the spreadsheet, load it into DMT, run a Pre-Process/validate pass first to surface errors before committing, then Process to write the records.

Fixing Epicor BusinessObjectException: BPM Directive Errors

A BusinessObjectException that says "A Business Process Management (BPM) directive has raised the following error" means a directive on that business object stopped the transaction, either deliberately via a Raise Exception widget or accidentally via an unhandled .NET error in Custom Code. Expand the InnerException on the error dialog to see the real message and the directive name, then open BPM Designer for that object and method to find the widget that fired.

Fixing a Slow Epicor BAQ (Business Activity Query)

A slow BAQ in Epicor is usually caused by unindexed join columns, a subquery or calculated field forcing a table scan, or the BAQ pulling far more rows than the dashboard actually displays before filtering client-side. Fix it by reading the SQL Server execution plan Epicor generates, moving filters into the BAQ criteria instead of the dashboard filter panel, and replacing subqueries with joins where possible.
