Infor LN Document Central: Attachments and Document Management

Question
infor ln document central

Also searched as

  • infor ln attachments document management
  • infor ln attach document to purchase order
  • infor document management ln ion

Short answer

In the Infor LN world, Document Central refers to the document and attachment layer that sits in the Infor OS portal and Infor Document Management (IDM), not to a single LN session. Users attach files to LN business objects such as orders, items and projects, and the files are stored and secured in the document service while LN keeps the link.

Applies to: Infor LN 10.x with Infor OS (Ming.le, ION) and Infor Document Management. Product naming has changed between releases, so check the terms used in your own portal.

How to get attachments working

  1. 1Confirm which document store your tenant or server uses: Infor Document Management through Infor OS, or the older in-LN document mechanisms.
  2. 2Verify the ION connection between LN and the document service is active and that the logical ID and document types are registered.
  3. 3Define the document types (for example drawing, certificate, contract) and the business objects they can attach to.
  4. 4Grant roles in Infor OS and in LN so the right users can add, view and delete documents. Treat delete as a separate permission.
  5. 5Test by opening a purchase order or item in the Web UI, adding an attachment, then opening it as a second user with a different role.
  6. 6Set retention, size limits and a backup rule for the document store in the same change.

What it is and what it is not

Document Central is the user-facing document area. Behind it, Infor Document Management stores the files, indexes them and enforces access. LN stores only a reference to the document on the business object, which is why users can see an attachment icon on the order while the file itself sits elsewhere.

It is not an engineering PLM and does not do revision control of drawings with approval workflows. If you need controlled engineering documents, use a PLM system and link its documents to LN items.

Common admin problems

Most failures are connection and permission problems rather than product defects: the ION connection point is down, a certificate expired, the user lacks a role in the document service, or the file type is blocked by size or extension rules. Check the connection first, then permissions, then the file.

For on-premise installations check network paths and proxy rules between the LN application server and the document service, because attachments often work in the browser but fail on the server side.

Searching documents and keeping them private

Attachments are a large unstructured source that is rarely searched well: certificates, inspection reports, contracts. A private retrieval layer over the document store, deployed on your own infrastructure, lets users ask questions about them without sending files to a public service. The access model from the document service should carry through to the answers.

Common pitfalls

  • !Treating attachments as backed up because LN is backed up, when the document store is separate.
  • !Giving everyone the delete permission by default.
  • !Letting large files accumulate with no retention rule.
  • !Assuming an attachment icon proves the file is still reachable after a migration.

How an ERP-grounded AI assistant handles this

Netray adds a private retrieval layer over LN data and attached documents, running on your own servers when needed. It respects the roles of the source system and can answer questions such as which supplier certificates expire this quarter. It reads, it does not alter the document store.

Frequently asked questions

Is Document Central a session in Infor LN?

Not in the usual sense. It is the document area of the Infor OS experience, working with Infor Document Management. LN links to it through ION and shows attachments on business objects.

Where are LN attachments physically stored?

In the document service or store configured for your environment, not in the LN database tables. That is why backup and retention for the document store must be planned separately.

Why can a user see the attachment icon but not open the file?

Usually a permission or connectivity problem with the document service. Check the role in the document service, then the ION connection, then whether the file still exists.

Can attachments be migrated during an upgrade?

Yes but the links must be preserved. Plan to migrate files and references together and validate a sample of each document type before cutover.

How to Attach and View Documents in M3 with IDM

Infor Document Management (IDM) attaches to M3 through key-based document classes: each document is filed against a document class that maps to a specific M3 program and key fields (order number, item number, customer number), so the paperclip or document icon on that M3 panel shows only documents whose stored key values match the record you are viewing.

How-to

Infor LN integration document types and integration rules with ION

In LN, an integration document type ties an LN business object to a BOD noun and direction so ION can send or receive it. Rules and mappings then decide which LN data populates the BOD, which events trigger publication and how incoming BODs are converted into LN transactions. Set up the document type first, then the mapping, then test in ION Desk.

Infor LN and M3 BOD Documentation: Definitions, Mapping and Tracing in ION

A BOD (Business Object Document) is the XML message ION moves between Infor applications. Definitions come from the Infor documentation and from ION itself (the document and schema information in ION Desk), the outbound mapping is configured in the application that publishes the BOD, and a BOD is traced through ION with the message monitoring tools by its document name and identifier.

Error fix

Infor LN bshell Process Stuck at 100% CPU: How to Diagnose and Fix It

A bshell process pinned at 100% CPU on the Infor LN application server almost always means one session is stuck in a 4GL loop, scanning an unindexed table, or waiting on a database lock. End the session from the Sessions Monitor first, then kill the OS process only if that fails, and check for a blocking database transaction before assuming it is a bug.

Error fix

Infor LN Not Authorized to Run This Session: How to Fix It

Infor LN refuses to open a session with a not authorized message when the logged-in user's assigned role does not include that session, or when the session is blocked for the company they are logged into. Grant the session through Common > Authorization Management > Roles, or check the user's role and company context, and the session opens on retry. In most cases this is a permissions configuration issue, not a bug.

Error fix

Infor LN DAL Out of Sync After a Custom Field: Cause and Fix

Infor LN throws a DAL, or table, out of sync error, or simply drops a new custom field silently, when a table's dictionary definition is changed but the generated DAL and dependent forms are not regenerated afterward. Running the standard sequence, table compile, DAL generation, then session/form compile, in Tools > Development after every dictionary change resolves it. Skipping any one of the three steps is what causes the mismatch.
