Contract Labour Wage Register with PF and ESI (Excel Worksheet)

Plants using contractors still carry responsibility for wage payment and statutory contributions. This worksheet is a working wage register that computes gross pay, employee PF, employee ESI and net pay from days and daily wages, and exports cleanly for contractor bills and audits.

Statutory rates and wage ceilings change. Minimum wages, PF wage definitions and ESI coverage depend on your state and current law. The principal employer also has duties for wages and contributions, so confirm the register format your state requires.

How to use the register

List each worker once per wage period with the contractor name and skill category. Enter days worked and the daily wage. The sheet calculates gross, employee PF at 12 percent on wages up to the Rs 15,000 monthly ceiling, and employee ESI at 0.75 percent where monthly wages are within Rs 21,000. Net pay is gross less those two deductions. Employer contributions are additional and are not shown, so add them in your cost sheet.

  • Use one sheet per wage month
  • Check daily wage against the minimum wage for the skill category in your state
  • Keep attendance records that support days worked
  • Reconcile totals to the contractor invoice

Why this register matters

Labour law places duties on the principal employer, including in many cases ensuring that wages and contributions are paid by the contractor. Auditors and inspectors often ask for registers of workers, attendance and wages. A tidy register tied to attendance data answers most questions quickly. Under the new labour codes, formats and thresholds may differ, so confirm the current requirements with your labour consultant.

Common mistakes

Frequent errors include applying PF on gross even where your policy uses the ceiling, forgetting that ESI stops once wages cross the coverage limit, paying below minimum wage for the skill category, and accepting contractor bills that do not reconcile to the register. Also keep a record of the contractor licence and its validity for each contractor listed.

Frequently Asked Questions

Are the PF and ESI rules fixed?

The sheet uses common rates: 12 percent employee PF on wages up to Rs 15,000 and 0.75 percent employee ESI where wages are within Rs 21,000. Thresholds and rules can change, so confirm against current law.

Does it include employer contributions?

No. It shows employee side deductions and net pay. Employer PF, ESI and other costs should be added in your costing or contractor billing sheet.

Can I add overtime or allowances?

You can add a number column and edit the totals in your exported Excel copy. Overtime has its own rules, so see the overtime calculator in this series for the Factories Act basis.

Is this a statutory format?

No. It is a working register. Some states prescribe formats such as wage registers, so use the prescribed form where required and treat this as a calculation aid.

If attendance and payroll sit in your ERP or time system, we can help generate this register straight from that data. The sheet works manually as well.
