Validate vendor masters inside your ERP

Optional: discuss GSTIN checks and duplicate detection on your vendor master.

Optional. The tool and every export work without this. No spam.

How to use the form

Send the blank form to the vendor or fill it from their documents. Enter legal name exactly as on the GST certificate, then GSTIN, PAN, Udyam number and bank details. Verify GSTIN and Udyam on the official portals before creating the vendor in your ERP. Attach copies of the supporting documents, record who verified them, collect signatures and file the form with the vendor master record.

  • Match legal name to GST and PAN records
  • Capture the Udyam number and category for every MSME vendor
  • Hold payments to bank details only from a signed form or cancelled cheque
  • Re-verify GSTIN status periodically

Why MSME status matters

Payments to micro and small enterprises for goods and services have statutory time limits, and under section 43B(h) of the Income Tax Act an amount unpaid beyond the permitted period can lose its deduction in the year of accrual. Knowing which vendors are micro or small, and what payment terms were agreed in writing, is the basis for tracking those due dates. Your ERP vendor master should store the category and the agreed days.

ERP and fraud controls

Bank detail changes are a classic fraud route. Require a signed request and a callback to a known number before changing account details. In your ERP, keep GSTIN, PAN, category and payment terms as structured fields and avoid free text. Check for duplicate vendors by PAN and GSTIN before creation, since duplicates cause double payment and wrong TDS reporting.

Frequently Asked Questions

Is Udyam registration mandatory for vendors?

No, but only vendors with valid Udyam registration are treated as micro, small or medium for the MSME payment rules. Ask for the certificate and verify it on the portal.

Why record the agreed payment terms?

Payment timing for micro and small suppliers is limited by law, and a written agreement can set terms within the permitted period. Having them on file helps you track and defend your payment dates.

Should I verify the GSTIN?

Yes. Check that the GSTIN is active and that the legal or trade name matches the vendor. This reduces the risk of ITC problems and wrong vendor records.

Can I add fields?

Yes. You can edit the exported Word copy to add fields like TAN, lower TDS certificate number, contact persons, certifications or sensitivity flags.

If you want vendor master checks such as GSTIN validation and duplicate detection run inside your ERP, we can help set that up. The form works on its own.
