How to use the template
Start with the headline. Write two or three sentences a busy executive can read alone and still understand the month. Fill in the KPI table with actual numbers and targets, then add highlights, problems with causes, actions and decisions needed. Export to PDF or Word and send it on a fixed day. Resist adding every metric you have. Pick five to eight that matter, define them in a glossary, and keep them stable so trends are clear.
- Headline first, details after
- Same KPIs and definitions every month
- Every problem gets a cause and an action
- End with the decision you need
Choosing KPIs
A balanced set covers safety, quality, delivery, cost and people. Typical choices are recordable incidents, scrap or first pass yield, on-time delivery, OEE, inventory turns and overtime. Use consistent definitions, such as ISO 22400 style KPI definitions, so plants compare fairly. Show trend as well as the month value where space allows. If a metric is red, add one line on why, not a long explanation. Numbers should come from the ERP or MES, not from memory.
Common mistakes
Reports often hide problems in long text or report averages that mask a bad week. Avoid blame language and avoid reporting activity such as meetings held. Check that the data matches finance numbers before sending. If your ERP and the floor disagree, say so and explain which source you used. A report that raises a problem early builds more trust than one that explains it late.
- Do not bury bad news
- Reconcile with finance numbers
- Avoid metrics with no owner
- Keep the report under two pages
Frequently Asked Questions
How long should a monthly operations report be?
Two pages is a good target: one page of KPIs and headline, one page of problems, actions and decisions. Detail can sit in an appendix or a dashboard. Executives read the first page and often only the first paragraph.
Which KPIs should I include?
Include safety, quality, delivery and cost as a minimum, then add one or two that reflect your strategy, such as OEE or inventory turns. Keep definitions fixed. Changing the formula mid year makes trends meaningless.
Who should receive the report?
Typically the CEO or COO, site and functional leaders, and finance. Send it on the same day each month. Some companies also share a trimmed version with all employees to keep the floor informed.
Can I use it weekly?
Yes. Change the period field and shorten it to a one page version with only safety, delivery, quality and the top three issues. Weekly reports should drive action, so keep the decisions section.
If building this report each month means exporting from several ERP screens, Netray can set up a private, read-only way to pull the figures from your own data.
