Where goods leave on a job work or sale basis, a delivery challan or tax invoice under GST is required in addition to this internal pass, and an e-way bill may apply above the value limit. Use this as an internal control document, not a replacement for those documents.

Optional: discuss generating gate passes from transfer and job work orders.

Optional. The tool and every export work without this. No spam.

How to use it

Choose Returnable or Non-returnable, then enter the purpose, destination and carrier. Fill the item table with description, serial number, quantity and condition. The requester and department head sign, stores confirms, and security signs at the gate. For returnable items, security completes the return receipt when the goods come back, and the stores in-charge keeps a log of passes still open past their return date.

  • Use sequential numbers by financial year
  • Never allow an open ended returnable pass
  • Record serial numbers for tools and instruments
  • Review passes open beyond the return date every week

Gate pass and GST documents

A gate pass is an internal control. If goods move out for job work, sale, or inter-unit transfer, GST documents apply. A delivery challan accompanies certain movements without a tax invoice, and an e-way bill is generally required for consignments above the notified value limit. Keep the gate pass number on the challan and the challan number on the gate pass so records link up for audit and for tracking ITC-04 job work returns.

Common mistakes

The usual failures are returnable passes with no return date, quantities written loosely such as set or lot, and verbal approvals. Another is scrap movements without weighment records. Keep a short register of open returnable passes, and use the return receipt block, so overdue items are chased before they become losses.

Frequently Asked Questions

When do I use a returnable pass?

Use it for items you expect to receive back, such as tools sent for repair or calibration, dies, fixtures, and samples. Set a realistic return date and follow up when it passes.

Is a gate pass enough for GST?

No. It is an internal control. Movements for sale, job work or transfers may need a tax invoice or delivery challan, and possibly an e-way bill, in addition to the pass.

What about scrap?

Use a Non-returnable pass with the weight from the weighbridge and reference the sale invoice or approval. Record the scrap category in the remarks.

Can I print multiple copies?

Yes. Export to PDF or Word and print as many copies as your process needs, for example stores, security, accounts and the receiving party.

If your ERP can issue gate passes against stock transfers or job work orders, we can help wire this format to it. The template is useful on its own.
