Oracle EBS AP Supplier Onboarding Form Template

Supplier fraud and duplicates both start at set-up. This form gathers the data Oracle Payables needs, plus the checks that stop a fake or duplicate vendor reaching the payment run: independent bank verification, duplicate search, screening and approvals.

Find duplicate suppliers in your ERP

Optional review of how a read-only query layer could flag likely duplicate vendors for your team.

Optional. The tool and every export work without this. No spam.

How to use the form

The requester completes identity and site details, then AP or master data fills in the verification line and initials the checks table. Export to PDF or Word and keep it as the audit record for the supplier. Only after approvals should someone key the supplier in Payables. Keep the bank verification source independent of the details supplied on the request.

How it maps to Oracle Payables

In EBS the supplier header holds the legal name, type and tax registration, while supplier sites hold addresses and their purposes, payment terms, payment method and bank assignments. Contacts are separate, and bank accounts are defined in the payments setup and assigned at supplier or site level. Sites can be limited to purchasing, pay or both, which is why the form asks for the purpose.

  • Header: name, number, type, tax registration
  • Site: address, operating unit, purposes, terms, pay method
  • Bank account assigned to supplier or site
  • One legal entity should normally have one header

Common mistakes

Duplicate suppliers arise when people search by exact name only. Search by tax ID, bank account and partial name. Another common failure is accepting bank change requests by email without a callback to a known number. Segregation matters too: the person who creates suppliers should not be the person who approves invoices or releases payments for them.

Frequently Asked Questions

What is the minimum data to create a supplier in Oracle EBS?

At least a supplier name and type, then a site with an address and the operating unit. For payment you also need terms, payment method and any bank account. Your implementation may add required fields through configuration.

How can I prevent duplicate suppliers?

Search before creating, using name fragments, tax ID and bank account, and enforce a master data approval step. Periodically run a duplicate analysis on the supplier tables and merge or inactivate duplicates with care.

Why verify bank details by callback?

Fraudsters impersonate suppliers and ask to change bank details by email. Calling a number you already hold, not one in the request, confirms the change is genuine before payments are redirected.

Can one supplier have several sites?

Yes. A supplier header can have multiple sites, each with its own address, purpose, terms and bank assignment, often by operating unit. Use sites rather than creating a new supplier for each remit-to address.

If duplicate or risky vendors are a worry, we can discuss read-only queries over your supplier master that surface likely duplicates for human review.
