PPAP Document Template and Documents List

A PPAP package is easier to review when it has a clear index. This template creates the cover sheet and documents list for all 18 PPAP elements, so your customer can see at a glance what is included and what you retain.

The Submit or Retain column shows the typical pattern at Level 3 and is a guide only. Your customer's requirements and the current AIAG PPAP manual decide what is actually required. This is a cover and index sheet, not a replacement for the PSW form itself.

Cross-check a PPAP package automatically

An optional review of how an on-prem AI layer could compare revisions and characteristic numbers across your documents.

Optional. The tool and every export work without this. No spam.

How to build the package

Fill the header fields, choose the submission level and reason, then export. Print or attach the document list as the first page of your submission, and fill the Document ref column with file names or revision numbers as you collect each item. Work through the 18 elements in order. The PSW comes last because it declares that everything above it is true and complete.

Submission levels in short

PPAP defines five levels. Your customer tells you which one applies, often per part. Retain means you keep the record at your site and show it on request.

  • Level 1: warrant only (plus appearance report for appearance items)
  • Level 2: warrant with product samples and limited supporting data
  • Level 3: warrant with samples and complete supporting data
  • Level 4: warrant and other items as defined by the customer
  • Level 5: warrant, samples and complete data reviewed at the supplier site

Common mistakes

Submitting a package whose documents disagree with each other is the top cause of rejection: a drawing revision on the PSW that differs from the control plan, a characteristic numbered differently in the dimensional results, or a process flow that does not match the PFMEA. Before you submit, cross-check part number, revision and characteristic numbers across every document. Also confirm customer-specific requirements early, because they can add items or tighten capability targets.

Frequently Asked Questions

How many elements does PPAP have?

The AIAG PPAP manual lists 18 elements, from design records and FMEAs to dimensional results, capability studies and the part submission warrant. Which ones you submit versus retain depends on the submission level your customer sets.

Is there an official AIAG PPAP template?

AIAG publishes the PPAP manual and a PSW form, and the manual is copyrighted. This tool gives you an independent index and cover sheet, not a reproduction of AIAG material. Use the PSW tool on this site for the warrant fields.

Who approves a PPAP?

The customer's supplier quality or engineering function approves it, and records the result on the PSW as approved, interim approval or rejected. Interim approval normally comes with conditions and a deadline.

When do I need to resubmit?

Typical triggers include an engineering change, tooling transfer or replacement, a new material source, a process change or a long production gap. Your customer's requirements define the exact list, so confirm before changing anything on an approved part.

If your PPAP data is spread across ERP, QMS and shared drives, Netray can build a private on-prem assistant that finds and cross-checks it for you.
