SAP Internal Order and Budget Request Template

An internal order is cheap to create and expensive to clean up. This form puts the order type, budget, owner and settlement receiver on paper before the first posting, so the month end settlement does not become a hunt for what the order was for.

The order type decides the settlement profile, number range and whether budgeting is possible, so use your own order types. Budget is entered in KO22 or through the budget transaction for the order, and settlement is run with KO88 for single orders or CO88 collectively. Capital versus expense treatment is an accounting policy call, confirm with your controller.

Want a stale order report from your SAP data?

We can discuss a read only analysis that lists open, overspent and unsettled internal orders.

Optional. The tool and every export work without this. No spam.

How to use the request

The requester fills the description, owner, dates, budget and scope. The controller selects the order type that matches the accounting treatment and confirms the settlement receiver. Export the form to PDF, attach it to the order record or the approval email, and then create the order in KO01 using the same values. Using the same wording for the order description makes later reporting from KOB1 or order reports far easier.

Choosing the order type and settlement

An overhead cost order collects costs and settles to a cost center or GL account. An investment order settles to an asset under construction or to a final asset, and it is the right choice for capitalizable projects. An accrual order is used to carry accrual calculation. The settlement rule is where most errors occur: a receiver of a cost center for an investment project means the cost expenses rather than capitalizes. Confirm the policy first and write the receiver in the form.

Budget and availability control

A budget alone does not stop spending. Availability control, activated with a budget profile on the order type, compares commitments and actuals with the budget and can warn or block. Decide the warning percentage in advance, and who can release a stopped posting. In the form, record whether availability control is active. Also record the planned end date so the order can be set to technically complete and then closed after the final settlement.

Common mistakes

Frequent mistakes are leaving orders open for years with small residual postings, settling to the wrong receiver, creating one order per request instead of a reusable order per project, and entering budget in a currency different from the order currency. Another is assigning orders to the wrong cost center owner, so the person who sees the overspend is not the person who caused it. Close finished orders after settlement to prevent late postings.

Frequently Asked Questions

Which transaction creates an SAP internal order?

KO01 creates an order, KO02 changes it and KO03 displays it. KOB1 lists line items posted to the order. Settlement is run with KO88 for one order or CO88 for several.

What is the difference between budget and plan on an order?

Plan is a forecast used for planned versus actual reporting. Budget is the approved spending limit, and it is what availability control checks. You can have a plan without a budget and the reverse.

When should I use an investment order?

When the cost will be capitalized as a fixed asset, such as an asset under construction. The settlement profile of the order type points to an asset receiver. Your accounting policy decides what qualifies.

Can an order be closed with open commitments?

The system checks status and open items. A business completion check will normally warn about open commitments or unsettled costs. Clear or cancel them before setting the closed status.

If order, budget and settlement checks are tedious manually, we can help build read only reports over your CO data that flag stale or overspent orders.
