SAP GL Account Master Data Request Template
Every new G/L account should arrive on a controlled request, not an email that says please create an account for freight. This template captures the settings your FS00 owner needs and the downstream checks that stop a duplicate or a misconfigured account reaching production.

Approvals
Field names follow the standard FS00 layout (type or description, control data, create or bank or interest). Your chart of accounts, account groups and field status groups are customer specific, so replace the examples. In S/4HANA the cost element is part of the G/L account master through the account type, in ECC it was a separate KA01 object.
Want account requests validated automatically?
We can review your request process and show how checks against your chart of accounts could run before a request reaches the approver.
Optional. The tool and every export work without this. No spam.
How to use the request form
Fill the fields at the top, review the generated sections and export to PDF or Word. The requester completes identification and justification, the FICO consultant completes the control data, and the controller approves. Keep the exported file with the change record so an auditor can later see who asked for the account and why it exists. For mass requests, attach one form with a spreadsheet of accounts instead of repeating the form.
- Search for an existing account first, in FS10N or FAGLB03 and the chart of accounts report
- Give the account type so Controlling knows whether it is a cost, revenue or balance sheet account
- State the company codes explicitly, the chart of accounts segment is shared but each company code is a separate extension
- Record the field status group so posting screens behave as expected
The settings that cause the most rework
Three settings are hard to change once postings exist. Reconciliation account type cannot be changed on an account with line items, open item management and line item display have restrictions after postings, and the account currency cannot be changed after balances exist. Get these right before the first posting. The field status group controls which fields are required on a document line, such as cost center or order, so a wrong group is the usual cause of the first posting error on a new account.
Impact checks before approval
A new account is rarely self contained. Automatic account determination for materials (OBYC), sales (VKOA) and tax (OB40) must be told about it if the account is posted by the system. Group and statutory reporting hierarchies need the account mapped or it falls into an unassigned node. In S/4HANA the account type decides whether a cost element exists, so Controlling must agree with the choice. The impact table in the form lists these checks so none is forgotten.
Common mistakes
The most common mistakes are creating accounts in production before they exist in the quality or test system, using a vague name that matches three other accounts, forgetting the second company code, and setting open item management on a P&L account that does not need it. Another is requesting a reconciliation account type from a business user, which should always be a FICO decision. Use the form to make each of these a visible field.
Frequently Asked Questions
Which transaction creates a G/L account?
FS00 maintains the account centrally, with chart of accounts and company code segments. FSP0 maintains only the chart of accounts segment and FSS0 only the company code segment. In S/4HANA the same account master also carries the cost element data.
Can I change the reconciliation account type later?
Not on an account that already has line items. You would need to create a new account and transfer balances. That is why the form asks for it up front and requires a FICO decision.
Do I need a separate form for each company code?
No. One form can list several company codes. The chart of accounts segment is created once and each company code segment is extended, so list every code that needs the account.
Is this form a substitute for SAP workflow?
No. It is a controlled document you can use when you have no workflow. If you run SAP Master Data Governance or a custom approval workflow, use this as the content checklist for your request type.
If your account requests, approvals and mass creation still run on email, we can help automate the workflow and the validation against your existing chart of accounts.
