SAP Physical Inventory Procedures Checklist

Physical inventory in SAP is more than a count list. It needs a freeze, a clean difference process and audit evidence. This checklist walks through planning, counting and posting across WM, EWM and Inventory Management.

Mark each item you have completed. Items flagged critical protect book accuracy and audit evidence, so resolve them before posting any difference.

Optional: we can show how to trace count differences back to movements automatically from your SAP data.

How to use the checklist

Work through the groups in order and tick items as they are done. Critical items are those that affect accuracy or audit evidence. Use it for annual counts, rolling continuous counts or cycle counting runs. Export the ticked list to PDF and attach it to the count file for your auditor, or to Excel to track several warehouses side by side.

Choosing a procedure

Annual counts stop operations but are simple to explain. Continuous inventory spreads the counts over the year inside defined windows. Cycle counting counts materials at frequencies by class, usually based on value and movement. Each needs different setup: freeze rules, material indicators and tolerance settings. Pick the method the auditor accepts and the warehouse can operate without long stops.

  • Annual: full freeze, simple evidence.
  • Continuous: counts spread over the year.
  • Cycle counting: frequency by material class.

Common mistakes

Teams often post differences before recounts, which hides process errors. Another mistake is counting with a stock list that shows the book quantity, which encourages confirmation rather than counting. Open warehouse tasks and unposted goods movements cause false differences, so clear them before the freeze. Finally, WM and IM stock may be out of sync before the count, which needs reconciliation first.

Frequently Asked Questions

What is the difference between MI01, MI04 and MI07?

MI01 creates a physical inventory document in Inventory Management, MI04 enters the count, and MI07 posts the differences. WM and EWM have their own equivalent steps for bins and handling units.

How often should I do cycle counting?

It depends on the class. High value or fast moving materials may be counted several times a year, low value items once. Set frequencies with your auditor and base them on value and error history.

Do I need to freeze stock for a count?

Usually yes for the scope being counted, at least for the counted materials or bins. Without a freeze, movements during the count create false differences.

Who should post the differences?

A different person from the counter, with approval for high value differences. Separate authorizations for count entry and posting are standard control practice.

If reconciling count differences takes your team days, a read-only assistant that traces movements around a bin and material can speed up root cause work. We can build that on your data.
