SyteLine Reorder Point and Safety Stock Calculator

Safety stock and reorder point values on SyteLine items are often set once at implementation and never revisited. This calculator gives a defensible number from demand variability, lead time and the service level you want to hold.

Your numbers

units/day

Mean usage per working day from your demand history.

units/day

Standard deviation of daily usage over the same period.

14 days

Working days from order release to stock availability.

$

Used only to value the safety stock.

How to use the calculator

Pull average and standard deviation of daily usage for the item from your transaction history, for example an export of inventory issues for the last 6 to 12 months. Enter the replenishment lead time in working days, choose a service level and the unit cost. The result is a safety stock quantity, a reorder point and the cash tied up in the buffer. Compare the output with what is currently on the item record before you change anything.

  • Use working days consistently for demand and lead time
  • Exclude one off spikes such as a single large project order
  • Run it per item, or per ABC class with a representative item

The formula behind it

Safety stock equals Z multiplied by the standard deviation of daily demand multiplied by the square root of lead time. Z comes from the inverse normal distribution at your target cycle service level, about 1.64 for 95% and 2.33 for 99%. The reorder point is average daily demand times lead time plus safety stock. The square root term means doubling lead time raises the buffer by about 41%, not 100%, which the chart makes visible.

Reading the results and common mistakes

A high safety stock coverage in days for a slow item often means demand is lumpy and the normal assumption is weak; consider a min order policy or make to order instead. Variability of the lead time itself is not included, so add a margin for unreliable suppliers. Remember that MRP in SyteLine nets safety stock like any other demand, so an inflated value inflates planned orders.

  • Do not apply one service level to every item, tier by ABC class
  • Recalculate after a supplier or lead time change
  • Check units of measure match between demand and lead time

Frequently Asked Questions

Which service level should I choose?

Start with 95% for regular items and 98 to 99% only for critical or long lead parts where a stockout stops production. Each step up in service level increases the buffer more than the last, so price it using the value output.

Does this replace MRP planning parameters?

No. It only produces a number for the safety stock and reorder point fields. Your lot sizing rule, planning time fences and order policies still drive what MRP creates.

What if demand is not normally distributed?

For intermittent or lumpy demand the formula can understate risk. Use a larger sample, an empirical percentile of lead time demand, or manage the item with a min and max policy instead.

How often should I recalculate?

Quarterly for A items and at least annually for the rest, or whenever lead times, supplier or demand patterns change materially.

If you want these values recalculated across thousands of items directly from live SyteLine data, with the proposed changes reviewed before anything is written back, we can set that up.
