Welding and Fabrication Quote Proposal Template

A good fabrication quote does more than state a price. It names the drawing revision, the weld code, the inspection level, the finish and the exclusions, so a later change order has something to refer to. This template covers those items on one page.

How to use it

Fill in the fields at the top, including drawing revision in the job description, the governing code and inspection level. The preview updates as you type. Export to PDF to send or to Word to adjust wording. Replace the sample price and lead time with your estimate from the cost calculator or worksheet.

What each section is for

Scope of work defines what is priced. Standards and inspection records the code and NDE level, which are the most common sources of disputes. Pricing separates unit price from tooling and qualification costs. Delivery and terms set lead time and payment. Exclusions and assumptions protect you from unpriced additions.

  • Always cite the drawing number and revision
  • State what inspection is and is not included
  • List exclusions explicitly rather than staying silent

Making it fit your shop

Add a line for material surcharge language if you buy steel on a long release. Add outside processing lines for galvanizing or plating when those vendors set lead time. For regulated work, add the quality clauses from the purchase order, such as flow downs, counterfeit part prevention or records retention.

Frequently Asked Questions

How long should a quote stay valid?

Thirty days is common for fabricated work, shorter when steel prices are volatile. Match validity to your supplier price validity, and state material price assumptions in the terms.

Should I show a unit price or a lump sum?

Unit price is clearer for repeat parts and release schedules. Use a lump sum for one-off structures, and break out engineering, tooling and qualification as separate lines.

What exclusions should always be listed?

Engineering and detailing if not requested, inspection beyond what is stated, installation, taxes, freight when not included, and any rework from customer drawing changes.

Is this a legal contract?

It is a commercial proposal. Acceptance by the customer can create obligations, so have counsel review your standard terms and conditions and attach them to the quote.
