Sort by due date and review On hold rows first. Positive hour variance means the order used more hours than standard. Update the sheet at a fixed time each day.

How to use the tracking sheet

Replace the sample rows with your open work orders. Enter quantity ordered and completed, standard and actual hours, the due date and the WIP value from your system. Percent complete and hour variance are computed for each line, and totals update at the bottom. Review the sheet in the same meeting every day so that late or held orders are discussed while you can still act.

  • Start with On hold and past-due rows
  • Compare percent complete to elapsed time against due date
  • Flag orders with large positive hour variance for a cause review
  • Archive completed rows weekly to keep the sheet short

What an open work order report must show

A useful detail report answers four questions: what is open, how far along is it, is it on time, and what does it cost so far. That means status, quantity complete, due date, hours and WIP or cost. Anything more, such as operation-level progress, belongs in a separate drill-down. Keep the top-level view to one line per order.

ERP report equivalents

Most ERPs already contain this data. SAP has production order information reports such as COOIS for order lists. Oracle and NetSuite offer work order saved searches and reports. Infor SyteLine and Visual have job or work order status and WIP reports. Epicor and Dynamics provide job status and production order lists. Use the ERP for the live view and this sheet when you need a controlled snapshot, a custom layout or a share-out to people without system access. Check your version for exact report names.

Common mistakes

Do not mix hours units across rows, and do not leave actual hours blank on in-progress orders, since the variance will look better than it is. Compare hours only on completed operations, or scale standard hours by percent complete. Keep status values consistent so filters work.

Frequently Asked Questions

What is a work order tracking report?

It is a list of open work orders with their status, progress, due dates and hours or cost to date. Production planners and supervisors use it to find late, stuck or over-budget orders.

How is hour variance calculated?

Hour variance is actual hours minus standard hours. A positive value means the order took longer than planned. For in-progress orders, compare against standard hours scaled by percent complete.

Can I use this for maintenance work orders?

Yes. Treat quantity as tasks, hours as labor hours and the item as an asset ID. Add a priority column if you need one by exporting to Excel and editing.

How do I export it?

Use the export buttons to download Excel, PDF or CSV. The computed columns and totals are included.
