E-Way Bill Validity Calculator

An expired e-way bill leaves a loaded truck exposed to detention and penalty. Under the GST rules, validity depends on distance and the kind of cargo. This calculator shows the number of days and whether your planned transit fits inside them.

Your numbers

km

Approximate distance between the places of dispatch and delivery as entered on the e-way bill.

km/h

Used only to check whether the plan fits inside the validity.

Your results

Validity in days
4
One day for each 200 km or part for regular cargo, or each 20 km or part for over dimensional cargo.
Spare time in validity
77 hrs
A negative value means the plan does not fit the validity and an extension may be needed.
Validity in hours
96
The validity runs to midnight of the last day, so actual hours are slightly more.
Planned travel time
19 hrs

Rule summary for general planning. Validity starts from the time of generation of the e-way bill and is counted to midnight of the last day. Check the current CGST rules and notifications, and the portal, for extension and special cases.

How to use it

Enter the distance on the e-way bill and pick regular or over dimensional cargo. The tool returns the validity in days. Add your planned average speed, including driver rests, traffic and loading delays, to see whether you have spare time. If the buffer is thin, plan a Part B vehicle update or extension before expiry.

The rule behind the formula

For regular cargo the validity is one day for every 200 km or part of it. For over dimensional cargo it is one day for every 20 km or part of it. The calculator uses the rounded-up distance divided by the km per day figure. Validity is counted from the time the e-way bill is generated and ends at midnight of the last day.

  • 100 km is 1 day, 201 km is 2 days for regular cargo.
  • Over dimensional cargo needs far more days for the same distance.
  • Extension can be requested within the permitted window around expiry.

Where ERPs fit in

Tally Prime, Busy, SAP Business One India and Zoho Books can raise the e-way bill from the invoice through the portal or a GST suvidha provider. The distance comes from the pincode pair. If the dispatch pincode in the ERP is wrong, the validity and the distance will be wrong too, so keep warehouse addresses clean.

Common mistakes

Generating the bill long before the truck leaves, which burns validity, entering the wrong distance, and forgetting the vehicle change update in Part B when goods are transhipped. Delays from natural calamity or law and order issues have their own extension provisions.

Frequently Asked Questions

How many days is an e-way bill valid for 500 km?

For regular cargo, 500 km rounds up to three blocks of 200 km, so the validity is 3 days from generation. For over dimensional cargo the same distance would need 25 days.

When does the validity period start?

It is counted from the time the e-way bill is generated, and expires at midnight of the last day. Generate it close to the actual dispatch time.

Can I extend an e-way bill?

Yes, the transporter or generator can request an extension on the portal in the permitted window around expiry when goods cannot reach in time, with a reason. Check the current rules for the window.

Does it apply to all goods?

E-way bills are generally required for movement of goods above the notified value, with exemptions for some goods and cases. The validity rules above apply once one is required.

If your dispatch team needs alerts for e-way bills close to expiry, Netray can discuss a read-only report over your ERP shipment data.
