Epicor Kinetic Go-Live Cutover Plan Template

A go-live goes wrong when people do not know who loads what, in which order, and what number proves it worked. This plan puts the freeze, loads, reconciliations and fallback decision on one document that the whole team can sign.

Cutover validation queries

Want reconciliation queries drafted against your legacy and Epicor data? Tell us your systems.

Optional. The tool and every export work without this. No spam.

How to use the plan

Enter project facts, edit the sequence table to match your scope, then export. Share it a few weeks before the freeze so owners can challenge their steps. Update the planned times after the final mock cutover rather than guessing. The signed version becomes the record of who accepted the opening balances.

  • Run at least one mock cutover with the same plan
  • Assign a named owner per step
  • Agree the fallback trigger before the event, not during it

Order of loads

Master data is already in place by cutover, so the final window deals with balances and open documents. Inventory goes first because purchase receipts, jobs and shipments all depend on stock existing in the right bin and lot. Open purchase and sales orders follow, then jobs with their WIP, and finally the financial opening balances. Loading open jobs before stock invites negative inventory on the first issue.

Validation and reconciliation

Each load needs a number that ties back to a legacy report. Inventory value by warehouse, open order value and trial balance are the minimum. Record the variance and who accepted it. Small rounding differences are normal; unexplained differences are not. Do not open the system to users until finance signs the trial balance and operations signs inventory.

Common mistakes

Teams underestimate how long reconciliation takes and run out of weekend. Others skip the fallback discussion and then argue about it at 3 a.m. Decide the triggers in advance and keep the legacy system readable, even read-only, for several weeks after go-live.

  • Only one mock cutover or none
  • No finance sign-off step
  • Security groups not tested for real roles

Frequently Asked Questions

How many mock cutovers should we run?

At least one full rehearsal, and two for complex multi-site projects. Each rehearsal should use this plan and produce a timed record, so the final window schedule is based on evidence rather than estimates.

Who signs the go/no-go?

Normally the executive sponsor decides with input from finance, operations and IT leads. The key is that the criteria are written down in advance, such as reconciliation thresholds and ability to ship orders.

Does this plan depend on a specific load tool?

No. It works whether you load with Data Management Tool, a custom integration or another approach. Edit the task wording to name the tool and template you use.

Can I use it for a phased rollout?

Yes. Create one plan per phase or site, and list only the modules and balances going live in that phase. Keep the validation table specific to that scope.

If your cutover involves large data loads from several sources, we can help script validation queries and build reconciliation reports that run on your own infrastructure.
