Epicor Kinetic Custom Report Inventory Worksheet

Custom reports multiply over the years. Before an upgrade or a cloud move, you need to know which ones matter and who owns them. This worksheet is a quick inventory that ends with a keep, test, redesign or retire decision.

Minutes saved per run is your own estimate of the work the report replaces. Items with no owner and no runs are candidates to retire after a notice period.

Report rationalization help

Want help consolidating reports onto one governed source? Tell us how many you have.

Optional. The tool and every export work without this. No spam.

How to use the worksheet

List custom report styles, BAQs, dashboards and external reports that read Epicor data. For each, name an owner, count users and runs per month, and estimate the minutes saved per run. Choose an action. Export to Excel to share with department heads for confirmation before you retire anything.

  • Start with reports that are emailed on a schedule
  • Ask owners to confirm, do not assume
  • Mark anything with no owner for review

Why inventory before upgrade

Custom report styles and queries depend on data model details that can change between releases. Testing all of them costs time, so you test those that matter. Items with many users or financial impact get a test line in the upgrade plan, while unused ones are retired so they stop consuming effort and giving conflicting numbers.

Reading the value column

Monthly minutes of value is runs times minutes saved. It is a rough ranking tool, not an accounting figure. A dashboard run 300 times a month saving five minutes each is worth far more than a pretty report used twice. Use it to explain to stakeholders why you will test some reports first and retire others.

Common mistakes

Teams retire reports based on system usage data alone and miss quarter-end or annual reports. Others keep three versions of the same report because nobody knows which is right. Check the calendar of use, and agree one trusted version per question.

  • Retiring year-end reports in a quiet month
  • Duplicate versions of a sales report
  • Reports reading from copied spreadsheets

Frequently Asked Questions

What counts as a custom report?

Anything built or modified locally that business users rely on: report styles, BAQs, dashboards, and external tools such as spreadsheets or BI reports connected to Epicor data. Standard unmodified reports usually do not need a line.

How do I find unused reports?

Use available run history, audit or scheduling information in your environment, then confirm with owners. Absence of recent runs does not prove a report is unused, because some run once a year.

Is the value estimate meaningful?

It is a ranking aid based on your own estimates. Do not present it as savings. Use it to order the testing list and to start conversations with owners.

Can I attach screenshots?

Not in the worksheet. Keep screenshots or specifications in your document store and reference the location in the name or owner column.
