Findings
| No | Finding | Classification |
|---|---|---|
| 1 | Three operators on the stamping line had no completed on-the-job training record for the changeover standard work, although they performed changeovers in the last 30 days. | Minor nonconformity |
| 2 | Internal auditor competence criteria are defined and records show recent refresher training for all active auditors. | Conformity noted |
Corrective action
Auditee to submit root cause analysis, containment and corrective action for each nonconformity by 2026-11-20. Auditor to verify effectiveness and close the finding in the audit log.
Conclusion
The process is partly effective. Strengths and weaknesses are as stated in the findings. The audit programme record is updated with audit date and outcome.
Sign-off
Clause references follow the IATF 16949:2016 structure; paraphrased, not quoted. Add your own question sets for other processes and confirm customer-specific requirements. IATF rules set the audit programme requirements in clause 9.2.2 and its sub-clauses.
Audit evidence from your own systems
Optional: see how a private AI layer can pull audit evidence from your ERP and quality records.
Optional. The tool and every export work without this. No spam.
How to use the report format
Open the template at the start of the audit. Fill in the audit header, scope and criteria, then work through the process questions and record the evidence you actually saw: document numbers, records, names of people interviewed. Add findings with a classification, set a due date and export. The report becomes the record that the audit took place and the input for management review.
The HR process in IATF 16949
People processes sit mainly in clauses 7.2 and 7.3. Clause 7.2 covers competence, with automotive additions: criteria for those handling special characteristics, on-the-job training for new or changed jobs, and competence criteria for internal and second-party auditors. Awareness in clause 7.3 includes understanding the customer impact of nonconforming product. HR usually owns the records, but supervisors own the actual training.
- Defined competence per role, not just job titles
- On-the-job training records with sign-off by a qualified trainer
- Coverage of agency and temporary workers
- Auditor competence criteria and refreshers
- Evidence that training was effective, not only attended
Choosing the right audit type
IATF 16949 expects the internal audit programme to include QMS audits against the standard, manufacturing process audits of every process on each shift at suitable intervals, and product audits to verify conformity to requirements. An HR process review is a QMS process audit. Plan each type in the annual programme, give priority to risk and past performance, and keep the schedule and results as records.
Common mistakes
Many reports fail to convince certification auditors because of weak evidence.
- Findings with no objective evidence or record reference
- Checking that a training procedure exists but not that it is followed
- Skipping night shift and agency staff
- No verification that corrective action worked
Frequently Asked Questions
What should an IATF 16949 audit report contain?
It should name the scope, criteria, date, auditor and auditee, the evidence reviewed, each finding with classification and record references, the corrective action requirements and dates, and an overall conclusion. It also needs sign-off so it can serve as a controlled record.
Which IATF clauses apply to HR?
Mainly clause 7.2 (competence, including on-the-job training and auditor competence), clause 7.3 (awareness) and parts of clause 7.1.2 (people). Customer-specific requirements may add training record rules, so check those for each customer.
Is there an Excel version of the audit checklist?
Yes. Export this template to Excel or PDF. For a longer clause-by-clause list, use the IATF 16949 internal audit checklist linked below and combine the two as needed for your annual audit programme.
How often must internal audits be done?
The audit programme must cover the whole QMS, all manufacturing processes and products over the programme cycle, with frequency set by risk and performance. IATF requires a documented programme under clause 9.2.2. There is no single fixed interval for every process.
