IATF 16949 Contingency Plan and Management Review Template

Acme Precision Components Ltd - Contingency Plan

Site: Plant 2, Pune Document: QP-06-03 Date: 2026-10-20

This plan addresses risks to continued supply of product to customers, as required by IATF 16949 clause 6.1.2.3. It identifies internal and external threats, defines the response and sets the testing and review cycle.

Scenario and response

Scenario: Equipment failure

Immediate response: Stop affected line, quarantine WIP, notify production manager and customer logistics within 2 hours, switch to backup machine per work instruction WI-114.

Buffer or backup: 3 days finished goods; backup CNC cell 4 qualified for part family A

Plan maintenance

The plan is tested periodically for effectiveness, for example by simulation or a table-top exercise, and reviewed after any incident and at least annually. Review results are recorded and top management is informed of changes.

Management review minutes

Date: 2026-10-20 Attendees: Plant manager, quality manager, production manager, maintenance lead, customer quality representative

Inputs reviewed: status of actions from prior reviews, customer feedback and scorecards, internal audit results, process performance, nonconforming product, cost of poor quality, supplier performance and risk.

Cost of poor quality: Scrap and rework 1.8 percent of sales; external failures down on prior quarter

Decisions and actions: Approve fixture error-proofing for op 40; assign owner and due date.

Error-proofing procedure

Purpose: prevent defects at source and avoid reliance on inspection. Error-proofing is identified during PFMEA, applied in the control plan and verified for effectiveness.

Current device: Presence sensor on locating pin, op 40 drilling

Verification: the device is tested with a known nonconforming sample at the start of each shift. Failures are logged and the device is repaired or replaced before production continues.

This is a starting point for your quality management system, not a certified document. Align wording and clause references with your own manual, current IATF 16949 text and customer-specific requirements. For the control plan itself, see the related control plan template.

Pull management review data from your ERP

An optional review of how scrap, returns and delivery data can be summarized privately from your own systems.

Optional. The tool and every export work without this. No spam.

How to use these templates

Fill in the company, site and scenario fields, then refine the blocks. The contingency table lists the threats you must plan for, such as equipment failure, utility loss, labor shortage, supplier failure and IT outage. For each, record the supply risk, who responds, how and when the customer is told, and when you last tested the response. The management review block gives a minutes layout with inputs and an action log. The error-proofing block records the device, the operation and how effectiveness is verified.

What IATF 16949 expects

Contingency plans are addressed in clause 6.1.2.3: you identify internal and external risks to continued supply, define actions, test them periodically, review them after incidents and keep documented information. Management review sits in clause 9.3 and expects inputs beyond ISO 9001, including cost of poor quality, process effectiveness and customer scorecards. Error-proofing is part of the process approach and is expected to be considered in the PFMEA and control plan, with effectiveness verification defined. Paraphrase and adapt, because auditors look for fit with your own processes.

Reading the result and what auditors look for

Auditors ask for evidence that the contingency plan has been tested, not just written, and that customers are notified when shipments are at risk. They check that management review minutes show real inputs and decisions with owners and dates. For error-proofing they often ask to see a device being challenged. Keep a record of each test. A short table with date, who ran it and the result is enough, if it is current.

Common mistakes

Copying a generic contingency plan that never mentions your own machines, suppliers or ERP is the top finding. Another is a management review that lists agenda items without data. Error-proofing is often claimed in the PFMEA but missing from the control plan, so the two documents disagree. Keep the contingency scenarios tied to your real risk assessment, and update the plan when your customer base or footprint changes.

Frequently Asked Questions

Which IATF 16949 clause covers the contingency plan?

Clause 6.1.2.3. It expects you to identify risks to continued supply, define response actions, test the plan periodically and review it after incidents, with documented information kept as evidence.

What inputs are required for management review?

Beyond the usual ISO 9001 inputs, IATF 16949 expects items such as cost of poor quality, process effectiveness, customer scorecards, field returns and the status of contingency and maintenance plans. Confirm the full list in the current standard.

Is an error-proofing procedure mandatory?

IATF 16949 expects error-proofing to be used where appropriate and its effectiveness verified, and it is typically captured in the PFMEA and control plan. A short procedure that defines how devices are selected, challenged and recorded satisfies most auditors.

Can I use this template without certification?

Yes, but it is a starting point and not legal or certification advice. Adapt it to your quality manual and customer requirements before using it in an audit.
