India E-Invoicing Readiness Assessment
E-invoicing is more than adding a connector to the ERP. It depends on clean customer and item data, controlled numbering, error handling and a monthly reconciliation. This ten question assessment shows where your current set-up is weak.
1. How does your ERP send invoices to the Invoice Registration Portal?
2. How complete are customer GSTINs, addresses and state codes in the master data?
3. How good is the HSN and unit of measure mapping on the item master?
4. How is invoice numbering controlled?
5. What happens when the portal rejects an invoice?
6. How are IRN, acknowledgement number and QR code stored?
7. How are credit notes, debit notes and cancellations handled?
8. How is the e-way bill linked to the invoice?
9. How do you reconcile e-invoice data to GSTR-1 and the books?
10. What is your fallback if the portal or integration is down?
How to use the assessment
Answer based on what happens today, not on what the policy says. Involve billing, logistics and finance in the answers, because different teams see different problems. The score is the percentage of the maximum possible points. Use the band and the recommendations as a short list for your next quarter, and repeat the assessment after each change.
What the questions test
The questions cover four areas: integration route, data quality, exception handling, and reconciliation. Data quality includes GSTIN, address, state code, HSN and unit of measure. Exception handling covers rejected invoices, cancellations and downtime. Reconciliation compares what the portal holds with GSTR-1 and the general ledger. Weakness in any one area shows up as manual work at month end.
- Integration route and ownership
- Master data quality
- Rejections, cancellations, downtime
- Reconciliation to returns and books
Typical gaps found
Common gaps include customers with an inactive GSTIN, invoice numbers longer than the portal allows, units of measure that do not map to the standard list, and no process for retrying after a failure. Another is that the e-way bill is created by a different team from invoice data re-keyed by hand, which leads to mismatched values. Fixing master data usually gives the fastest improvement.
ERP notes
Whichever ERP you run, the integration usually sits in a GST add-on, a localisation or a middleware layer. Ask your vendor who maintains the schema version and how a schema change is rolled out. Keep a test route to the sandbox so changes can be tried before they reach live billing.
Frequently Asked Questions
Is this assessment a compliance opinion?
No. It is a self-check for operational readiness, not legal advice. Whether e-invoicing applies to you depends on turnover and the current notification, so confirm applicability with your tax adviser.
What score should I aim for?
Above 85 percent suggests a controlled process. Any answer scored 2 or below deserves attention first, particularly master data, error handling and reconciliation, because these cause most of the day to day pain.
Do small manufacturers need this?
If your turnover is below the e-invoicing threshold you may not be covered, but your customers may still ask for clean GST data. Many smaller firms prepare early because the threshold has been lowered in steps.
Who should complete it?
Ask a finance lead and the person who runs billing in the ERP to answer together, with logistics for the e-way bill questions. Different views often reveal that the real process differs from the documented one.
If your score points to gaps in master data or exception handling, we can run a read-only review of your ERP data and integration logs and suggest fixes.
