Equipment Criticality Ranking Worksheet for SAP PM
Not every asset deserves the same maintenance effort. A criticality ranking gives you a consistent, documented reason for which equipment gets preventive plans, spares and fast response, and this worksheet calculates that ranking row by row.
| Equipment | Functional location | Safety consequence (1-5) | Production consequence (1-5) | Environment consequence (1-5) | Repair cost consequence (1-5) | Failure likelihood (1-5) | Weighted score | Criticality | |
|---|---|---|---|---|---|---|---|---|---|
114 | 45.6% | ||||||||
75 | 30% | ||||||||
70 | 28% | ||||||||
68 | 27.2% | ||||||||
68 | 27.2% | ||||||||
30 | 12% |
Weights used: safety 4, production 3, environment 2, cost 1, multiplied by likelihood. The maximum is 250. A common starting split is A at 50 percent and above, B from 25 to 50 percent, C below 25 percent; adjust to your own risk matrix. Then record A, B or C as the ABC indicator on the equipment or functional location in SAP PM. Weights and thresholds are examples for you to tune with operations and safety.
Criticality and plan coverage review
Optional expert review of how criticality, failure history and plan coverage line up in your SAP PM data.
Optional. The tool and every export work without this. No spam.
How to use it
List equipment or functional locations, one row each. Score the consequence of failure on safety, production, environment and repair cost from 1 (minor) to 5 (severe), and score how likely a failure is from 1 to 5 using breakdown history. The sheet weights the consequences, multiplies by likelihood and shows a percentage of the maximum. Edit the example rows, add your own and export to Excel for review with operations.
- Score as a group with operations, safety and maintenance in the room.
- Write down the definition of each score level before starting.
- Use notification history to anchor the likelihood score.
The scoring method
This is a simple consequence times likelihood matrix, as used in many risk based maintenance programs. Safety carries the highest weight at four, production three, environment two and repair cost one. The weighted consequence is multiplied by likelihood, so a rarely failing but dangerous asset can still rank high. The maximum possible score is (4+3+2+1) times 5 times 5, which is 250, and the percentage column is the score divided by that.
Using the result in SAP PM
Record the outcome as the ABC indicator on the equipment master or functional location, then use it as a filter in notification and order lists, to set priorities, to decide which items get strategy-based plans and to drive spare parts decisions. Review the ranking annually and after major incidents. A common mistake is scoring every item as critical; force a distribution so that few items are A.
- Do not include consumable items; rank assemblies or equipment.
- Keep scoring rules identical across sites for comparability.
- Archive the sheet as the audit trail for the ABC assignment.
Frequently Asked Questions
What is the ABC indicator in SAP PM?
It is a classification field on equipment and functional locations, typically used to flag criticality as A, B or C. Sites use it to prioritise work, filter lists and decide on plan coverage and spares.
Are the weights fixed?
No. The weights are an example. Your safety and risk teams should set weights that reflect your own risk matrix, then apply them consistently across all equipment.
How many equipment items should be A?
Typically a minority, often around 10 to 20 percent. If most items rank A the scoring does not discriminate and the thresholds or definitions need tightening.
How often should criticality be reviewed?
At least annually, and after a major failure, a process change or an asset modification. Likelihood especially changes as failure history accumulates.
If you want criticality, failure history and plan coverage joined together from your SAP PM data, Netray can build that report on your own infrastructure.
