SAP QM Quality Notification 8D Report Template

Customers and OEMs still ask for an 8D, while the real record of the problem sits in a SAP QM quality notification. This template keeps the two aligned, so the document you send is built from the same facts that are in QM01.

Starting point only. Notification types Q1, Q2 and Q3 are the standard SAP delivered types, and your system may use custom types and catalog codes. Check them in your configuration.

Automate your notification reporting

Optional follow-up to discuss reading QM notification data into a report without manual copying.

Optional. The tool and every export work without this. No spam.

How to use it

Open or select the quality notification, copy the notification number, material, batch and quantity into the fields, then write the problem, containment, root cause and corrective action in the text boxes. Export to PDF or Word for the customer and keep the SAP notification as the system of record with tasks, causes and activities assigned.

  • Use the SAP notification number on every page
  • Write the problem with what, where, when, how many
  • Containment is an immediate task, not a corrective action
  • Record one root cause and the escape cause separately

How the 8D maps to SAP QM

A quality notification holds a header with material, batch and quantity, one or more items with defect codes, causes, tasks and activities. Immediate tasks fit D3, causes fit D4, and tasks with a responsible person and due date fit D5 and D6. The status of the notification (outstanding, in process, completed) follows the progress of the 8D. Notification types Q1 for customer complaints, Q2 for complaints against a vendor and Q3 for internal problem reports are delivered in the standard system.

What good reports contain

A useful 8D separates the technical root cause from the escape cause: why the defect happened and why it was not detected. It shows evidence for the cause such as a measurement or a test, not an opinion. It names a person and date for every action, and a check on effectiveness after a set period. Weak reports stop at retraining operators.

  • Evidence for the root cause
  • Escape point in the inspection process
  • Verification of the corrective action
  • Review of similar parts and processes

Common mistakes

Closing the notification in SAP before the corrective actions are verified. Using the same text for all three types of complaint. Writing corrective actions with no owner and no date. Not linking a vendor complaint to the supplier's own 8D response.

Frequently Asked Questions

Does this create the SAP notification?

No. It is a document template. Create or open the quality notification in QM01 or the Fiori equivalent and use this report to prepare the customer-facing 8D from the same facts.

What is the difference between Q1, Q2 and Q3?

In the standard SAP delivery Q1 is a customer complaint, Q2 is a complaint against a vendor and Q3 is an internal problem report. Each can be adapted in customizing, so confirm with your administrator.

Can I use this for an A3 or CAPA report?

The structure works for any problem-solving report, but an A3 or a CAPA has its own fields such as risk assessment and effectiveness checks. Add those in the design notes if your standard requires them.

Which fields should I always fill?

Notification number, material, batch, quantity, problem statement, containment, root cause with evidence, and corrective actions with owner and date. Those are the fields most customers reject an 8D for when missing.
