A layout starting point, not tax or legal advice. Saudi e-invoicing rules require structured, system generated invoices with specific fields, identifiers and a QR code, so a manually exported document does not replace an approved solution. Use this as a content checklist and a review aid, and confirm requirements with ZATCA.

Check your ERP invoice data against ZATCA fields

Optional: a read-only review of invoice and master data gaps in your ERP.

Optional. The tool and every export work without this. No spam.

How to use the template

Pick the document type, fill in seller and buyer data and the amounts in SAR, then export to PDF or Word for review. Use it in workshops to compare your ERP print form against the expected content, or as a manual fallback for internal review copies. It does not generate the cryptographic stamp or the QR payload. Those come from your e-invoicing solution once it is integrated and onboarded with ZATCA.

Key content to check

A standard tax invoice to a VAT registered buyer carries more detail than a simplified invoice to a consumer. Check the live ZATCA data dictionary for the full list. At minimum, review the following in your own output.

  • Seller and buyer names, addresses and 15 digit VAT numbers
  • Sequential unique number, issue date and supply date
  • Item descriptions, quantities, unit prices, taxable amounts, rate and VAT per line
  • Totals in SAR, with VAT clearly stated
  • References from credit and debit notes back to the original invoice and the reason

ERP notes and mistakes

In SAP, Oracle, Dynamics or Infor, map tax codes to 15% standard, zero rated exports and exempt supplies before testing invoices. Typical failures are missing buyer VAT numbers on master data, rounding differences between line and header VAT, and credit notes raised without a link to the original document. Run a batch of real historical invoices through your test environment and compare totals before go live.

Frequently Asked Questions

Is this template enough to comply with ZATCA e-invoicing?

No. ZATCA e-invoicing requires structured electronic invoices generated and handled by compliant software, with specific identifiers and a QR code. This template is a content and layout aid for planning and review only.

What is the standard Saudi VAT rate?

The standard rate is 15%, applied since July 2020. Some supplies such as qualifying exports are zero rated and others are exempt, so map those to separate tax codes in your ERP.

Do I need Arabic on the invoice?

E-invoicing rules expect Arabic content for key fields, and bilingual output is common. Check the current ZATCA requirements for your invoice type before finalising your layout.

When do I issue a credit note?

Issue a credit note for returns, price reductions or corrections after the original invoice. It should reference the original invoice number and state the reason, and it should flow through the same e-invoicing channel.

If you want to extract invoice and master data from your ERP to test against these fields, we can help with a read-only data review. The template stands on its own.
