GST Credit Note and Debit Note Format Template

A credit note is how you correct a tax invoice after sale: a return, a price revision, a post-sale discount. The format has mandatory fields, and a mismatch with the original invoice causes ITC problems for the buyer. This template gives you the structure and exports it for use with your accounting system.

Tax treatment

Tax on the adjusted taxable value is calculated at 18 percent under IGST and must be shown as separate lines on the final document: taxable value, tax amount and total adjustment.

A credit note reduces the original liability and the recipient's input tax credit. A debit note increases both. Report the note in GSTR-1 for the month of issue.

Starting point only, not legal or tax advice. Section 34 of the CGST Act requires the note to refer to the original invoice, and a credit note must be issued by 30 November following the financial year end or the date of the annual return, whichever is earlier. E-invoicing applicable taxpayers must report the note on the IRP.

How to use it

Select whether you are issuing a credit or debit note and enter the supplier and recipient details with GSTIN. Reference the original invoice number and date, state the reason, and add the taxable value being adjusted with the rate and tax head. Export to PDF for the customer, or to Word to adjust the layout. Record the same data in Tally Prime, Busy or Marg, so the GSTR-1 reflects the note in the right month.

Required fields

Rule 53 of the CGST Rules lists the particulars: the words credit note or debit note, name, address and GSTIN of the supplier, a consecutive serial number unique for the financial year, date of issue, name and address of the recipient, the original invoice number and date, value of taxable supply, tax rate and amount, and a signature. For registered recipients, include their GSTIN. Taxable value and tax can be shown by line when the correction affects different goods.

  • Credit notes cannot be used to reduce tax liability if the buyer has not reversed credit.
  • Time limit is 30 November after the financial year of the original supply.
  • Debit notes have no cut-off but must be reported in the period of issue.

Common mistakes

The usual issues are issuing a note with no invoice reference, choosing the wrong tax head for the original place of supply, skipping the note in GSTR-1, and issuing a credit note after the section 34 deadline so that the liability reduction is lost. Keep a series that is separate from invoices, reconcile the credit note register monthly, and confirm the buyer has reversed their ITC for sales returns.

Frequently Asked Questions

Can one credit note cover many invoices?

Yes, a single note can refer to multiple invoices, provided each is listed with its number and date and the tax is shown against each. Many businesses prefer one note per invoice to keep the audit trail clear.

What is the deadline?

A credit note that reduces tax liability must be issued by 30 November following the end of the financial year of the original supply, or by the date of filing the annual return, whichever is earlier.

Is e-invoicing needed for notes?

If your turnover exceeds the e-invoicing threshold, credit and debit notes must also be reported to the IRP with an IRN. Check the threshold applicable to your entity.

When do I use a debit note?

Issue a debit note when you need to increase the invoice value or tax after the original invoice, such as a rate revision, extra freight or a short charge. It raises both your liability and the buyer's ITC.
