Component Repair Quote Comparison Worksheet

The cheapest repair quote is rarely the cheapest repair. Turn time, freight and the length of the warranty change the real cost, and the vendor must be approved for the part. This worksheet puts every quote on the same basis and exports to Excel for your approval file.

Total landed cost = price + freight + turn days x cost per day without the part. Do not award to a vendor whose approval status is not cleared for the part number, whatever the price.

Optional: we can discuss pre-filling vendor price, turn time and warranty data from your purchase order history.

How to use the worksheet

Add one row per vendor quote. Enter the repair price, round trip freight, turn time and the cost you incur per day without the part, which could be a loaner fee or the carrying cost of a spare. Record the warranty days and the approval status. Total landed cost and cost per warranty day compute automatically, and the summary shows the spread between the best and worst offer.

Why landed cost matters

A 12,000 dollar quote with 70 days turn time and 1,800 dollars of freight costs more than a 18,000 dollar quote that returns in 30 days once you value the days without the part. Warranty length is the other half of the story, and cost per warranty day gives a quick way to compare vendors who offer 180 days against those who offer two years.

  • Include freight both ways and any customs or broker fees
  • Value turn time at a realistic daily cost
  • Check the quote covers test, not just evaluation
  • Confirm whether BER units incur an evaluation fee

Approval and records

Only award repairs to organisations approved under your quality system and appropriate to the part and the release certificate you need. Keep the worksheet with the purchase order, and note the final choice and the reason, so the audit trail shows why a higher priced vendor was selected.

Common mistakes

Comparing quotes from different scopes, such as test and evaluate against full overhaul, leaves you with unreliable conclusions. Another is ignoring time value when a part is on a critical path. Ask each vendor to quote the same scope and state their assumed BER handling.

Frequently Asked Questions

What daily cost should I enter?

Use the loaner or pool fee if you rent a replacement. If you hold your own spare, use its daily carrying cost. If the aircraft is grounded, use your delay or AOG cost estimate instead.

Why compute cost per warranty day?

It normalises price against coverage. A slightly more expensive repair with twice the warranty may cost less per covered day, which matters for parts with a history of early removals.

Can I add columns?

The worksheet columns are fixed in this tool, but you can export to Excel and add your own columns such as incoterms, currency or part condition requirements.

Does it handle different currencies?

Convert all quotes to one currency before entering them, using the rate on the quote date, and note the rate in your file.

Netray can set up an agent over your purchasing history that pre-fills this worksheet with past quotes, actual turn times and BER outcomes for each vendor and part number.
