Receiving checks wired into your ERP

Optional review of how receiving inspection results can drive stock status in your ERP.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in the header and item fields, pick the release paperwork actually received, and describe visible condition in plain words. The verification table is left blank so the inspector can mark each line by hand or in the exported Word file. Export to PDF for the receiving folder or attach it to the work order in your ERP or MRO system. One report covers one line item; use a new report number for each serial number so traceability stays one to one.

What a receiving inspection must establish

A receiving check answers three questions: is this the part we expected, does the paperwork legitimately support it, and is it in a condition we can accept? Most repair stations also verify that life-limited or shelf-life data accompany the part.

  • Part and serial number on the part match the release document
  • Release form is complete, signed and traceable to the item
  • Packaging, ESD and humidity protection are intact
  • No visible damage, corrosion, missing hardware or foreign object debris
  • Quantity and unit of measure agree with the order

Common mistakes

The usual failure is accepting a part into stores before the paperwork review is finished, so a suspect item gets issued. Another is recording only the batch number for serialized items, which breaks the back-to-birth chain later. Do not use free text such as 'looks fine'; describe the actual condition. If any answer is doubtful, choose Hold for review and tag the part rather than guessing. In an ERP, mirror the disposition with a quarantine or inspection stock status so the system and the shelf agree.

Frequently Asked Questions

Does this replace my quality manual procedure?

No. It is a form you can adapt to your own receiving procedure. The checks, authority and retention periods must follow your approved exposition or quality manual and your authority's rules.

Which release documents should I expect?

Commonly an FAA Form 8130-3 or an EASA Form 1 for serviceable parts, or a certificate of conformance for standard parts and raw material. Requirements depend on the part category and your approvals.

Do I need a separate form for each serial number?

Yes, ideally. One report per serialized item keeps traceability clean. Bulk standard hardware can be received by lot with the lot number and quantity recorded.

Can I export this to Word?

Yes. The tool exports to PDF and Word so you can print it, sign by hand, or keep editing the text before filing.

If receiving checks live in paper files and your ERP, we can help connect the two so stock status follows the inspection result.
