Quotes from ERP repair orders

Optional review of generating customer quotes from repair order data.

Optional. The tool and every export work without this. No spam.

How to use it

Complete the header, customer, part and scope fields, then choose the pricing basis that matches how you work. Add the turn time and warranty, and state your beyond-economic-repair threshold in plain terms. The assumptions table lists what is excluded so there are fewer disputes at invoice time. Export to PDF for sending or to Word to add your logo and standard terms of sale. Match the quote number to your ERP sales or repair order.

Choosing a pricing basis

The pricing basis decides who carries the risk of hidden damage. Choose deliberately and say so on the quote.

  • Fixed price: customer certainty, shop carries risk
  • Not to exceed: a cap, with approval needed above it
  • Time and material: lowest shop risk, least customer certainty

Common mistakes

The most frequent dispute comes from silent assumptions: what counts as a repair versus a replacement, who pays freight, and whether an evaluation fee applies if the unit is scrapped. Another is promising a turn time that ignores parts lead time. Keep turn time tied to receipt of the part and complete paperwork, not to the date of the quote. If you quote many units, build the figures from a repair-versus-replace analysis so the BER limit is based on numbers.

Frequently Asked Questions

What does beyond economic repair mean?

It means the cost to repair exceeds an agreed share of a replacement or exchange price. The quote should state the threshold and require customer consent to continue.

Is this template legally binding?

It is a commercial starting form, not legal advice. Binding terms depend on your contract and terms of sale, which your legal adviser should review.

Which pricing basis is best?

It depends on predictability of the repair. Fixed price suits routine repairs, not to exceed suits mixed cases, and time and material suits unknown condition units.

Can I add exchange or loan options?

Yes. Add a line in the commercial terms, or export to Word and extend the document with exchange and loan unit pricing.

If quotes are retyped from repair orders, we can discuss generating them directly from ERP repair order data.
