A starting point. Your work package content, task card format and release wording come from your maintenance organization exposition, your customer's maintenance program and the applicable regulations. Replace the example values with your own and add your approved forms.

Want work packages generated from your ERP?

We can outline how to assemble work packages, parts lists and indexes from your maintenance and ERP data on your own servers.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in the fields at the top: organization, work package number, aircraft identity, check type, hours and cycles at induction, and planned dates. Write a short scope summary and any special customer instructions. The generated document contains a cover, scope, index, milestones, resources and an approvals block. Export it to PDF or Word, then attach task cards and the parts list behind the index. Re-export whenever scope or dates change, and keep the previous version in your document control so the history is clear.

What a work package contains

Work packages are built from the approved maintenance program for the check interval, plus open deferred defects, mandatory directives, modifications and customer requests. Non-routine cards are added as findings arise. A good package gives the hangar a single view of what must be done, with which parts and tools, and who signs. Planning engineers usually freeze the routine content before induction, then manage the non-routine content through a findings review with the customer, so scope growth is visible and approved.

  • Routine cards from the maintenance program
  • Non-routine cards raised during inspection
  • Directives, bulletins and modifications
  • Parts, tools, facilities and labor by skill
  • Records, certificates and release documents

Worked example

For a C check, the planner assembles the routine card list for the interval, adds open deferred defects and applicable directives, and fixes a planned induction and release date. The cover sheet records hours and cycles at induction so that later checks start from known data. During the visit, the inspection findings create non-routine cards, the customer approves them in a findings meeting, and the milestones table shows when they were closed. At the end, the package index points to every record that supports the release.

Common mistakes

Planners often freeze the package too late, so the hangar starts with changing scope. Others forget to plan the lead time for long-lead parts and consumables, which then dominate the turn time. Another frequent mistake is losing the link between a task card and the work package, which makes the final records review slow. Use one numbering scheme, include the version on every page and keep a single master index. Also confirm that every directive in the period is considered, not only those that appear on the customer's request.

Frequently Asked Questions

Is this template approved for use by an authority?

No. It is a generic planning document. Your approved formats, task card layout and release wording come from your maintenance organization exposition and the applicable regulations. Use the template as a starting point and align it with your own controlled forms.

When should a work package be frozen?

Routine content is usually frozen some days before induction so that parts, tools and labor can be planned. Non-routine content then grows during the check and is managed through a findings review. Record the freeze date and version on the cover page.

What belongs in the index?

The index lists the sections of the package and the document references behind them: routine cards, non-routine cards, directives, modifications, component changes, tooling, tests and records. A clear index makes the final records review faster and helps an auditor find evidence.

How do I handle scope growth?

Raise non-routine cards for each finding, estimate hours and parts, and get the customer's approval before work proceeds when the contract requires it. Track the extra hours against the original estimate so you can see scope growth by check and by aircraft age.

If your work packages are assembled by hand from ERP or maintenance system extracts, we can automate the assembly. Netray builds private, on-prem tooling around SAP, Infor and other systems.
