Oracle EBS WIP Discrete Job Close Variance Worksheet
Before closing discrete jobs, controllers want to see which jobs carry the largest variances and why. This worksheet lets you lay out standard and actual cost per job, compute material and resource variance, and mark jobs reviewed.
| Job | Assembly | Qty completed (units) | Std material | Actual material | Std resource and overhead | Actual resource and overhead | Material variance | Resource variance | Total variance | Variance % of standard | Reviewed | |
|---|---|---|---|---|---|---|---|---|---|---|---|---|
$260 | $240 | $500 | 4.4% | |||||||||
-$250 | $60 | -$190 | -1.3% | |||||||||
$510 | $580 | $1,090 | 12.5% | |||||||||
-$10 | -$50 | -$60 | -0.4% |
Positive variance here means actual exceeded standard (unfavourable). Check the sign convention of your own variance accounts in the WIP accounting classes before posting anything.
Variance review from live EBS data

How to use it
Pull the job list that is complete and ready to close, along with standard and actual cost by element from your WIP value or job cost reports. Enter each job on a row. The sheet computes material variance, resource and overhead variance, total variance and the percentage of standard. Use the Reviewed column to track which jobs have been explained or are on hold, then export for your month-end close file.
- Include only completed jobs with no open transactions
- Keep material and resource separate to find the cause faster
- Mark Hold for jobs with missing charges or pending returns
Where variances come from in Oracle WIP
In standard costing, completing a job relieves the standard cost of the assembly. The difference between what was charged to the job and what was relieved at completion is held in the job, then written to variance accounts when the job is closed. Material usage variance, resource efficiency, resource rate and overhead variances are tracked separately, and the accounts come from the WIP accounting class. Reviewing before close avoids surprises in the period results.
Reading the results
A job with a large percentage but small value is often a short-run issue. A job with a modest percentage on a large value deserves more attention. Persistent material overruns across many jobs of the same assembly suggest the bill of material yield or scrap factors are wrong. Persistent resource variances suggest routing times or rates are out of date. Fix the source data, not just the jobs, or the same variance returns each month.
Common mistakes
Do not close a job while material is still issued but not returned, or while resource transactions are pending. Check that over-completions and scrap transactions are posted. Remember that closing is period-driven: the variance posts in the period you choose, so align with your calendar. Always document why large variances were accepted, because auditors look for that note.
Frequently Asked Questions
Does this post anything to Oracle?
No. It is an offline working sheet in your browser. Closing jobs and posting variances is done in Oracle WIP by an authorised user. This tool only helps you review and document first.
Does it work for average costing?
The arithmetic works, but average costing handles variances differently, with fewer variance accounts in WIP. Use the columns as a comparison of planned versus actual cost and adapt the labels.
What is a good variance threshold?
Many plants investigate anything above a few percent of standard or above a fixed currency amount. Pick thresholds with your controller and keep them consistent between periods.
Can I paste rows from Excel?
Use the add row control and type or paste cell values where the interface allows. You can also export, edit in Excel and keep your own copy of the results.
If you would like these variances pulled automatically from WIP tables with an explanation per job, Netray can discuss a read-only reporting layer over your EBS data.
