SAP SD Milestone Billing Plan Calculator

Milestone billing plans in SAP SD link invoices to project or contract milestones, often with a down payment requested up front. Billing teams struggle to explain why a milestone invoice is smaller than the milestone percentage. This calculator shows the maths.

Billing plan monitor

Want blocked and overdue billing plan lines surfaced from your own system?

Optional. The tool and every export work without this. No spam.

How to use it

Enter the contract value, the down payment percentage and the shares of the contract for the first two milestones. The third milestone takes the remainder. Then enter the retention percentage if the customer holds back part of each invoice. The outputs list the down payment request, the net invoice for each milestone and the retention total. The check line should always equal the contract value.

Proportional clearing

When the down payment is cleared proportionally, each milestone invoice settles a share of the advance equal to its share of the contract. With a 20 percent down payment, every milestone invoice is reduced by 20 percent. A milestone worth 360,000 gross results in a net invoice of 288,000, and the remaining 72,000 is cleared against the advance already paid.

  • Down payment request is a billing document type of its own
  • Clearing happens in the final or milestone invoice
  • Tax on down payments depends on local rules

Reading the chart

The bar chart sweeps the down payment share from zero to 50 percent. As the advance grows, every milestone invoice shrinks, and the cash arrives earlier. Use this to explain to a project manager why the cash profile changes when the down payment is negotiated up or down, even if the contract value stays the same.

Common mistakes

Do not forget that milestone shares must add up to 100 percent of the contract excluding the down payment. Retention is not the same as the advance: it is a withheld amount that you invoice later. Finally, billing plan dates and milestone status drive when the billing block is released, so test the workflow, not only the numbers.

Frequently Asked Questions

What is the difference between milestone and periodic billing?

Periodic billing creates invoice dates on a fixed schedule. Milestone billing ties each billing date to a project milestone and releases it when the milestone is reached.

Can the down payment be cleared in the final invoice only?

Yes, depending on configuration. This tool shows proportional clearing, which is common. For clearing in the last invoice, the earlier invoices would be gross and the last one smaller.

Does retention reduce the invoice?

It depends on the contract. Here it is shown as a total held amount, not as a deduction from the net invoice. Adjust to match your contract.

Why must shares add up to 100?

Because the milestone invoices together must cover the contract value. The third milestone is calculated as the remainder to avoid an under or over billing.
