Assumptions and exclusions
Price assumes drawing HH-4471 Rev C and material from our usual mill source. Material cert and dimensional report included. Customer-specific testing, packaging other than standard and expedite fees are quoted separately.
Format variants
Sheet metal quotation: add material and gauge, flat blank size, nesting yield, bend count, hardware, finish and minimum order value; list laser, punch and brake operations in the notes.
Injection molding quotation: quote the tool separately (cavities, steel, expected shot life, tool lead time and ownership), then piece price by resin, cycle time, press tonnage and packaging; state the annual volume the price assumes.
Acceptance
This is a starting format, not legal advice. Have your own terms and conditions reviewed before attaching them. Prices in the example are illustrative only.

How to use the quote template
Start with the header: your company, quote number, date and a validity period, since material prices move. Enter the part number with its revision and a one-line description including material and finish. Fill in three quantity breaks with unit prices, the one-time charges, lead time and payment terms. The assumptions field is the most important part of a good quote: it is where you state the drawing revision, material source, certifications, packaging and what is not included.
- Always quote against a drawing revision
- Show setup separately or spread it over each break
- State how long the price is valid
- List exclusions in plain words
What a machine shop quote must contain
A usable quote answers five questions: what exactly is being made, how many, at what price, by when and under what conditions. Customers comparing three quotes also look for what is included, such as material certificates, first article reports, finishing and packaging. The price breaks matter because setup and programming are fixed costs, so unit price falls as quantity rises. A quote that hides these assumptions leads to disputes at invoice time.
Sheet metal and injection molding quote formats
The structure stays the same but the content changes. A sheet metal quotation format adds gauge, flat blank, nesting yield, bends and finish, and often a minimum order charge. An injection mold quotation separates tooling from piece price: the tool is a one-time cost with its own lead time, cavity count and ownership terms, while the piece price depends on resin, cycle time, machine size and packaging. Use the quote type selector and the format variants block as a prompt for those items.
Common quoting mistakes
Frequent errors are quoting from a drawing revision that later changes, omitting secondary operations such as deburring or inspection, and not stating that material pricing is time limited. Another is giving a single price for an uncertain quantity. Quote at least three breaks and note what happens below the minimum. Track win rate and margin on every quote so you learn which jobs you underprice.
- Check the quote against the cost build-up before sending
- Add expiry on material-sensitive quotes
- Keep a copy of the exact version sent
Frequently Asked Questions
What should a machine shop quote include?
Part number and revision, description with material and finish, quantity price breaks, one-time charges, lead time, payment terms, validity period and a clear list of assumptions and exclusions. Add certifications and inspection deliverables when the customer expects them.
How do I quote different quantities?
Calculate the fixed cost (setup, programming, fixturing) and the variable cost per part, then divide the fixed cost by each quantity. Present three breaks, such as 25, 100 and 500, so the buyer sees how unit price falls with volume.
How is an injection molding quote different?
It has two parts: tooling, quoted as a one-time charge with cavity count, steel and lead time, and the piece price based on resin, cycle time, press size and packaging. State the annual volume the piece price assumes and who owns the tool.
Can I export this quote to Excel or PDF?
Yes. After editing the fields, use the export buttons to download a PDF, Word or Excel version. The example is filled so you can see a complete quote before replacing it with your own details.
If your quotes, routings and past job costs sit in an ERP, Netray can add a private AI layer on your own servers that finds similar past jobs when you quote. This template works on its own.
