Starting point for your own receiving inspection record. Adapt the characteristics table to the drawing and control plan. If the decision is a rejection, link this report to a nonconformance report and supplier corrective action request.

Capture receiving inspection in your ERP

Optional: we can review how this report could map to an inspection lot or receipt in your ERP.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill the fields at the top of the form, then export the document to PDF or Word and complete the blank tables by hand or in the document. The fields cover the data an auditor or supplier will ask for: PO, part and revision, supplier lot, sampling plan, AQL, quantity inspected, defects found and the disposition. The blank tables let you list the documents checked and the characteristics measured. Give every report a unique number and file it with the receipt record.

  • Always record the revision of the drawing used.
  • Write the gage ID next to each measured characteristic.
  • Use one report per lot, not per shipment, when a shipment holds several lots.

What a good report contains

A useful report lets a person who was not there reconstruct the decision. That means the exact plan used, the number of units inspected, the defects found by class and where, and the decision with a reason. For measured features, record actual values rather than ticks, because trends show supplier drift before it becomes a rejection. Link the report to the certificate and keep the retention period required by your quality system or customer, which in aerospace and defense is often many years.

Disposition options

The usual dispositions are accept, accept with deviation, sort, rework, return to vendor and scrap. Accept with deviation should only be used with a documented approval from engineering or the customer where required. Sorting means screening the whole lot and removing nonconforming units, and the cost is normally charged to the supplier under the agreement. Make sure the rejected quantity is physically segregated and the ERP stock status matches the paper record.

Common mistakes

Reports lose value when they are signed without recording the sample size, when defects are logged only as a total with no class, or when the revision is blank. Another problem is accepting a lot and recording the report later from memory. Fill in the report during inspection. If a measurement system is not in calibration, the result is not valid and the report should say so.

Frequently Asked Questions

What should a receiving inspection report include?

At minimum: supplier, PO, part number and revision, lot or batch, quantity received and inspected, sampling plan and AQL, defects found by class, measured results for key characteristics, gage IDs, disposition, inspector and date. Add document checks and photographs for any nonconformance.

How long should inspection reports be kept?

It depends on your quality system and customer contracts. Many manufacturers keep them for several years, and aerospace and defense contracts can require longer periods, sometimes tied to the life of the product. Follow the retention requirement in your procedure and any flow-down terms.

Can I use this as a supplier-facing document?

Yes. Many companies send the report, or a summary of it, to the supplier with a rejection or corrective action request. Remove internal cost information and attach photographs so the supplier can see the issue clearly.

Is this the same as a certificate of conformance?

No. A certificate of conformance is issued by the supplier to state that the product meets the order. A receiving inspection report is created by you to record what you actually checked on arrival. Both are normally kept together in the receipt file.

If you would rather capture these reports directly in your ERP and see supplier trends, we can discuss mapping the fields to your inspection lot or receiving transaction.
