Optical Component Incoming Inspection Report Template

Optical components arrive in small lots, are easy to damage and are expensive to find defective after assembly. This template gives your receiving inspector a consistent record for lenses, windows, mirrors and filters, ready to print or attach to the receipt.

Adapt characteristics and sampling to your drawing and your sampling plan (for example ANSI/ASQ Z1.4). Surface quality is commonly specified as scratch-dig under MIL-PRF-13830B or the ISO 10110-7 notation; use whichever your drawing calls out.

Automate receiving inspection in your ERP

Optional review of how inspection plans and results could be linked to receipts in your ERP.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in the lot header, the specification values from the drawing, and the disposition. Print or export the report, then record measured results in the table at the bench. Keep one report per lot so that a later field failure can be traced to a specific receipt, supplier and inspector. Attach the supplier certificate of conformance and any spectrophotometer plots.

  • One report per lot or delivery
  • Record the actual measured value, not only pass or fail
  • Attach coating test plots
  • Sign before releasing to stores

What to inspect on optics

Surface quality is judged against a scratch-dig specification under controlled lighting. Dimensions are checked against the drawing tolerance, and coating performance is checked by transmission or reflection at the design wavelengths. Edge chips matter only if they fall inside the clear aperture or threaten mounting. Clean handling with powder-free gloves or finger cots avoids creating the defects you are trying to find.

Common mistakes

The most frequent errors are inspecting under poor light, touching coated surfaces, accepting on the certificate alone, and recording no measured values. Another is mixing lots on one report, which makes containment slow when a defect appears. If your ERP holds a quality inspection plan, mirror these characteristics there so the result is stored against the receipt.

Frequently Asked Questions

How many pieces should I inspect from a lot?

Follow your quality plan. Many shops use an AQL sampling table such as ANSI/ASQ Z1.4, with tightened sampling for new suppliers. Critical or high-value optics are often inspected 100 percent.

Is a supplier certificate enough?

Usually not by itself for critical optics. A certificate is useful evidence, but a verification check on surface quality, dimensions and coating protects you against shipping errors and mixed lots.

What does scratch-dig 40-20 mean?

It is a visual comparison standard. The first number relates to scratch visibility and the second to dig diameter in hundredths of a millimeter. Lower numbers mean tighter surface quality.

Can I use this for coated and uncoated parts?

Yes. Change the coating requirement to Not applicable for uncoated parts, and add rows for any extra drawing characteristics such as wedge, flatness or parallelism.

If you want inspection results captured against receipts in your ERP and surfaced to buyers automatically, Netray can help automate that flow on your own infrastructure.
