Optics and Laser Equipment Calibration Log Worksheet
Optical measurements are only as trustworthy as the instruments behind them. This worksheet keeps a register of power meters, spectrometers and gauges with intervals and costs, and exports to Excel for audit.
| Asset ID | Instrument | Type | Last calibrated | Interval (months) | Next due | Cal cost | Last result | Cals per year | Annual cal cost | |

Compare the Next due date against today and flag overdue items. Record out of tolerance results and assess the impact on product measured since the last good calibration.

Optional review of how calibration schedules could be driven from ERP equipment records.
Optional. The tool and every export work without this. No spam.
How to use the log
Add every measuring instrument that influences a product decision. Enter the last calibration date, interval and the next due date, then update the result after each calibration. The worksheet computes calibrations per year and annual cost so you can budget. Export to Excel and filter by due date each month.
- Include all gauges that affect product acceptance
- Set intervals from stability history
- Record result and certificate number
- Review overdue items weekly
Intervals and traceability
Common calibration intervals are 6, 12 or 24 months, adjusted by drift history and usage. Calibrations should be traceable to national standards through an accredited laboratory where your quality system requires it, for example under ISO/IEC 17025 accreditation. Optical power and wavelength references need particular care because detector responsivity varies with wavelength.
Out of tolerance findings
If an instrument is found out of tolerance, review the product measured since the last good calibration and decide whether re-inspection is needed. Record the decision. Placing the instrument on hold and tagging it prevents accidental use. Mirror due dates in your ERP maintenance or quality module for automatic reminders.
Frequently Asked Questions
How often should a laser power meter be calibrated?
Annual calibration is common, but follow the manufacturer recommendation and your quality system. Heavy use, harsh conditions or drift history may justify a shorter interval.
Do I need to calibrate every gauge?
Calibrate every instrument whose reading affects product acceptance or process decisions. Instruments used only as indicators can be labeled for reference only under a documented rule.
What is traceability?
An unbroken chain of comparisons back to national or international standards, each with stated uncertainty. Calibration certificates normally state the standards used.
Can I add more instruments?
Yes. Add rows freely. The annual cost and calibrations per year columns update for each row and the totals follow.
If calibration due dates are managed in spreadsheets, Netray can help connect them to ERP equipment records and alerts.
