Rental Availability Session in Infor LN

Question
rental availability session infor ln

Also searched as

  • infor ln rental availability
  • check rental equipment availability infor ln
  • infor ln rental order availability check

Short answer

The rental availability session in Infor LN lets a rental planner see whether a rentable item or serialized asset is free for a requested period, by comparing the stock or asset base against existing rental reservations and orders. You enter the item, the rental period and the warehouse or site, and read back what is available, reserved or out on rent. Session codes differ by LN version and package, so find it with session search.

Applies to: Infor LN 10.x with the Service rental functionality; menu paths differ by version and by which packages are licensed

How to check rental availability in LN

  1. 1Press the session search in the LN UI and type rental availab to list the matching sessions in your version; open the one under Service or Order Management rental.
  2. 2Enter the rental item (or serialized rental asset) and the planned start and end date or period of the rental.
  3. 3Enter the warehouse or service site from which you intend to deliver, since availability is calculated per location.
  4. 4Run the check and read the quantities: total owned, already reserved or on rent for overlapping periods, in repair or blocked, and net available.
  5. 5If availability is short, widen the dates, choose another warehouse or substitute a similar item before confirming the rental order.
  6. 6Confirm the rental order or contract line so the reservation is created and the next planner sees the reduced availability.

What the availability figure is built from

Rental availability is not a simple on-hand count. A rental asset is a reusable item: it leaves the warehouse, comes back, is inspected and may go to repair before it is rentable again. So the figure is time-based. It starts from the number of assets you own at a location and subtracts reservations and orders whose rental periods overlap the period you asked about, plus assets that are blocked, in service or still in return processing.

Because overlap is what matters, two requests for the same unit in different weeks do not conflict, while two for the same week do. This is why the session asks for dates and not just a quantity.

Using the result in practice

Treat the result as a promise only after the rental order line is saved. Availability shown in the session is a read at that moment; another planner can book the same asset a minute later unless your process reserves at order entry. Many sites check availability while quoting and then rely on the order line to hold the reservation.

For serialized assets, check which serial numbers are free, not just the count, because a specific serial may be tied to a contract or a calibration cycle. Combine the answer with the maintenance schedule so you do not promise an asset that is due for inspection mid-rental.

When the numbers look wrong

If availability looks too low, look for returned assets whose return was never processed, so they still count as out on rent, and for assets left in a blocked or in-repair status. If it looks too high, check for rental orders still in draft that do not reserve yet.

Differences between the warehouse stock view and the rental view are common because rental stock and sellable stock can be tracked separately. Reconcile by item, warehouse and status rather than by total.

Common pitfalls

  • !Reading the screen as a guarantee: availability is only held once the rental order line is saved and reserved.
  • !Checking without dates: a quantity-only check ignores overlapping rental periods and overstates availability.
  • !Forgetting returns in processing: assets physically back but not booked in still show as on rent.
  • !Assuming session codes are identical across versions: use session search in your own environment.

How an ERP-grounded AI assistant handles this

Netray adds a private AI layer on top of the Infor LN you already run, including on-prem installs. ERPray answers questions in plain language over LN data read-only, shows the query it ran and respects LN roles, so a consultant can ask the question instead of hunting for the session. The model runs on your own GPUs, nothing leaves your network, and any write-back needs a human approval. Cloud-hosted LN works too, but the design is tuned for on-prem and air-gapped sites. For pure navigation questions, LN's own session search and help are often enough.

Frequently asked questions

Where do I find the rental availability session in Infor LN?

Use the LN session search and type rental availab. The exact session code and menu location depend on your LN version and which Service or Order Management packages are licensed, so confirm the match in your own environment rather than relying on a code from another release.

Does availability account for assets in repair?

It should if the asset status or blocking is maintained. Assets left in a repair or blocked state are excluded from the net figure, which is why keeping statuses current after returns matters for a correct answer.

Can I check availability for a future period?

Yes, that is the main use. Enter the future start and end dates and the check compares them against reservations that overlap that window, not against today's stock.

Why does the count differ from the warehouse stock?

Rental assets are time-based and can be tracked separately from sellable stock. Compare by item, warehouse and status to find the gap.

Infor LN item sales session, item purchase session and site data: where each lives

In Infor LN the item master is split by business function. General data sits in the Items - General table (tcibd001), sales data in Item - Sales (tdisa001) and purchase data in Item - Purchase (tdipu001). Site-dependent data such as ordering and planning parameters is held per item and site, so one item can behave differently in each site.

What Is a Planning Cluster in Infor LN?

In Infor LN Enterprise Planning, a cluster groups planning entities, such as plants or warehouses, so that planning can be run, viewed and controlled as one unit. It is a structural setting that determines what is planned together, which is why a wrong cluster setup produces missing or surprising planned orders.

Infor LN Item Group: Setup and Maintenance

An item group in Infor LN classifies items so that defaults, accounting and reporting can be applied by group instead of item by item. You maintain them in the Item Groups session (tcmcs023m000 in common data) and assign each item to one group in the item base data. Plan the group structure before loading items, because changing it later affects accounting defaults and history.

How-to

Infor LN 10.7 Pick Note Configuration in Warehouse Outbound

In Infor LN 10.7 Warehousing, the pick note (picking list) is produced by the outbound flow from the warehouse order lines: the warehouse parameters and outbound procedure decide when it is generated, the warehouse and location setup decide what appears on it, and the report layout decides how it looks. Configure those three layers in that order.

Error fix

Infor LN bshell Process Stuck at 100% CPU: How to Diagnose and Fix It

A bshell process pinned at 100% CPU on the Infor LN application server almost always means one session is stuck in a 4GL loop, scanning an unindexed table, or waiting on a database lock. End the session from the Sessions Monitor first, then kill the OS process only if that fails, and check for a blocking database transaction before assuming it is a bug.

Error fix

Infor LN Not Authorized to Run This Session: How to Fix It

Infor LN refuses to open a session with a not authorized message when the logged-in user's assigned role does not include that session, or when the session is blocked for the company they are logged into. Grant the session through Common > Authorization Management > Roles, or check the user's role and company context, and the session opens on retry. In most cases this is a permissions configuration issue, not a bug.
