Epicor Shop Floor Labor Reporting SOP Template

Acme Precision Ltd - Shop Floor Labor Reporting Procedure

Document: SOP-PRD-014 Revision: A Effective: 2026-11-02 Area: Machining and Assembly Owner: Production Manager

1. Purpose and scope

This procedure defines how labor time, completed quantities and scrap are reported in the ERP system for Machining and Assembly. Accurate reporting drives job cost, schedule visibility, payroll inputs and delivery dates.

2. Reporting method

Method: Badge and barcode scan. Time rule: Report actual time; no manual rounding. All reporting is done at the time the activity starts or stops. Do not report from memory at the end of a shift.

3. Procedure

Material defect, Machine error, Operator error, Design issue, Tooling wear. Record the reason at the time of scrap.

5. Exceptions

If the terminal is unavailable, record time on the paper traveler and tell the supervisor before the end of the shift. The supervisor enters the time and notes the reason. Corrections to posted labor are made by the supervisor with a recorded reason, not by the operator.

6. Review and records

The supervisor reviews unapproved labor daily. The procedure owner reviews this document yearly or after any system change. Records of corrections are kept according to the company retention schedule.

How to use the template

Fill in the company, document number, area and reporting method. Describe your own time rounding rule and scrap reason codes, then export to Word or PDF. Review the draft steps with a supervisor and two operators before release; the people who do the work will catch steps that do not match reality. Attach the SOP to your document control system, and train every operator on the version you issue.

What good labor reporting needs

Accuracy depends on reporting at the time of the activity, using the correct phase (setup or production), and closing out when the work stops. Operators need a quick way to do it, a clear reason code list and trust that the data will not be used punitively. Supervisors need a daily review of open or unapproved labor so that problems are fixed while memory is fresh.

  • One person, one login, no shared badges
  • Separate setup from production time
  • Record scrap at the moment it happens
  • Review open labor daily

Where it fits in Epicor

In Kinetic, labor and quantity are recorded against a job, assembly and operation, either through the shop floor or time entry screens, and are then approved before posting into job cost. The SOP should name the actual screen or terminal your people use and the approval step your supervisors perform. Pair it with a resource group review so that the rates applied to this labor are correct.

Common mistakes

Common failures are procedures that describe an ideal flow nobody follows, reasons codes that are too many to remember, and corrections made silently by supervisors. Keep the list short, require a note on every correction, and measure the share of labor entries that are edited after the fact. If that share is high, the process is not working regardless of what the document says.

Frequently Asked Questions

Is this specific to Epicor?

The structure fits any ERP, but the wording refers to jobs, assemblies and operations as Epicor uses them. Edit the steps to match your screens and terminals.

Who should approve the SOP?

Typically the production manager, quality manager and the ERP administrator sign. Where labor feeds payroll, add HR or finance. The signature block in the template can be edited to match your document control.

How often should the procedure be reviewed?

At least yearly, and whenever you change the system, terminals or reason codes. A short review after a quarter of use often catches steps that people skip.

Can I add photos or screenshots?

Export to Word and add screenshots of your own screens there. This keeps the template generic and lets you match the interface you actually run.
